  • 2-3 years administration experience in the financial services / insurance industry is necessary, focusing on Life insurance and investments

The Personal Assistant (PA) plays a key role in supporting the Financial Planner to ensure top-notch client service for insurance clients. Additionally, the PA collaborates with other team members both locally and regionally.The PA oversees administrative tasks, operations, and client services to bridge communication between the Financial Practice and the regional or head office.Client Services
  • Implement client service standards set by the Head of Operations
  • Handle administrative processes in Financial Planning practice(s), including transactions, inquiries, and reporting
  • Act as a liaison between Financial Planner and product providers (PPs)
  • Responsible for managing formal complaint resolution processes
  • Serve as the main point of contact for clients to ensure efficient delivery of their needs
  • Adhere to the principles of Treating Customer Fairly
Operations
  • Collect and prepare all client-related information and documentation for engagements with insurance clients
  • Manage FICA and AML processes during client onboarding
  • Ensure accuracy and completeness of transition documentation and new business transactions
  • Handle intermediary appointment notes for relevant PPs
  • Supervise new business applications and underwriting processes
  • Provide ongoing support to Financial Planner and clients
Operational support for Portfolio Managers and CRMs
  • Collaborate with the Client Relationship Managers (CRMs) for complete pre-population of mandates and applications
  • Use XPlan for all instructions to Portfolio Managers (PM) and CRMs
IT & Systems
  • Prepare client portfolios using Astute and/or product provider information
  • Ensure accuracy of XPlan Policy Schedules
  • Manage client data on XPlan and Integrated Wealth Planning systems
  • Handle communication with clients and manage records using XPlan
NAV & KPIs
  • Have a comprehensive understanding of NAV information to support the Financial Planner
  • Monitor personal KPIs on NAV
  • Seek guidance from the Operations Manager when needed
  • Work closely with the Financial Planner on all NAV data
Marketing Support
  • Assist in organizing client events and enhance client relationships
Office Management
  • Support general office management including reception, facilities, and stationery
  • Ensure timely orders for office supplies to avoid shortages
Knowledge
  • Understanding of the Financial Services Industry
  • Knowledge of FAIS and FICA legislation
