Description:

  • Our client in Cape Town is looking to employ a wellspoken Executive PA who will work independently, exercising initiative, discretion and judgment and makes appropriate decisions within the scope of assigned responsibility in support of the CEO. You will be required to provide administrative support to the office of the CEO in a multiple variety of areas in their daytoday activities which will be broad and complex in nature.
  • Duties and responsibilities include (but are not limited to):
  • Business
  • Receiving/relaying messages from internal and external stakeholders, managing the time/interaction the CEO has with internal and external sources.


Administrative work
  • In charge of all administrative work, from registrations with all relevant bodies in order to comply with the law in California.
  • Making sure that we are up to date with all relevant registrations.
Conferences,

  • Research relevant conferences.
  • Book company into conferences.
  • Preparing for conferences and making all necessary arrangements.
  • Perform copying, binding, packaging, etc., and disseminate routine and other documents as requested by department personnel including mail/messenger/meeting preparations.
  • Assistance with personal business for executive
Other project coordination and assignments as requested.

  • Personnel
  • Management of personnel.
  • Making sure they have what they need to be successful.
  • Coordinate and arrange internal and external meetings and prepare materials and items for each meeting.
  • Handle confidential business and personnel information, and time critical material with tact and discretion.
  • Research, compile and prepare data as required.
  • Arrange for and coordinate extensive international travel for CEO and employees.
CEO's son

  • Making sure he has everything he needs in New York.
  • Making sure he has psychologist as needed.
  • Making sure he has all books he needs.
  • Calendar Management
  • Calendar management, recognizing the global nature of the leadership team.
  • Arranging zoom call meetings on behalf of CEO.
  • Hosting zooms call meetings between clients.
  • Receive and review all mail, resolving what needs to be brought to the attention of the executive.
  • Be prepared to work on Californian time 3x per week.
  • Support CEO with the planning, scheduling, and handling logistics for other companyrelated events.
  • Keeping in touch with HR department in California, updating CEO of latest updated laws.
  • Making sure our personnel is trained on latest compulsory training in California.
  • Making sure our personnel is updated with HIPPA regulations
  • Research training programs that would be of assistance to personnel.
  • Research best marketing and sales options available.
  • Keeping in touch with payroll in California, making sure everything is in order.
  • Keeping in touch with our bookkeepers in California, making sure all is in order.
  • Taking care of all our IT needs, or contract company that can do so.
  • Researching latest conferences around the world and advising CEO on which one's they should attend.
  • Keeping in touch with accountants in south Africa, and making sure all is in order, with tax returns.
  • Researching on best possible banking options and reporting to CEO. (In the USA and in SA)
  • Best insurance options, advice CEO (in the USA and in SA)
CEO home

  • Making sure CEO home is always well equipped.
  • Arranging a cleaner, gardener and pool services.
  • Arrange house sitting when CEO travels
  • Support needs of CEO's personal residence as well as international travel for their family.
  • Making sure CEO car is washed once a week.
  • Taking it to service when necessary.
  • Paying all relevant car registration when needed.

Minimum requirements:

  • Associates degree in Business Administration or a related field or a combination of certificates and work experience as an executive assistant is required.
  • Minimum of 4 years executive/administrative assistant experience or equivalent combination of training and experience are necessary. A minimum of 5 years working for a senior executive.
  • Sophisticated digital literacy.
  • Excellent written and verbal communication skills.
  • Confidential and tactful maintaining the highest levels of integrity.
  • Ability to work under tight deadlines and balance multiple projects.
  • Advanced knowledge of office equipment.
  • Must be able to travel to LA
Working conditions and location - Where you will be located

  • Position is located in cape town, with lots of travel to LA.
