We are seeking a highly organised and customer-focused individual to join our team as a Front Office Administrator. As the first point of contact for visitors, students, and staff, you will be responsible for creating a warm and welcoming environment.

Key Responsibilities:
  • Campus Reception:
  • Create an efficient and professional front office environment
  • Welcome visitors, students, and staff, directing them to the appropriate personnel
  • Operate the switchboard, receiving and screening calls, gathering relevant information, and redirecting calls to the correct staff members
  • Take detailed messages and deliver them promptly to the appropriate individuals
  • Deal with student queries and direct them to the correct departments
  • Assist with intercom instructions and daily check-ins with the principal
  • Log all incoming calls onto the service desk correctly and promptly
  • Visitors/Customer Service:
  • Meet and greet visitors, offering them tea or coffee
  • Manage visitor announcements and ensure sound knowledge of the organisation to direct enquiries efficiently
  • Evaluate customer complaints and provide solutions within 24 hours
  • Ensure all customer queries are resolved and ticked closed on the system
  • Follow up on all customer calls and maintain excellent telephone etiquette
  • Reception/Housekeeping:
  • Uphold a professional image at all times
  • Maintain a neat and clutter-free environment
  • Replenish brochures and other materials
  • Mail Room:
  • Prepare monthly reports in Excel
  • Order labels timeously and monitor fund balances
  • Sort mail and assist drivers with delivery and collection items
  • Courier Services:
  • Receive and redirect deliveries, managing the courier system
  • Record courier items for tracking purposes and consolidate monthly courier reports
  • Arrange transport for events
  • Administration Duties:
  • Perform administrative tasks as required
  • Update the telephone extension list
  • Manage boardroom bookings and consolidate customer feedback reports
  • Manage customer databases and process orders, forms, and applications
  • Consolidate and administer timetables for teachers and classes
  • Assist principals and deputy principals with various tasks

We offer a competitive salary of R250,000 - R350,000 per annum, depending on experience.

This role is ideal for someone with a minimum of 3 years' experience in a similar environment, with strong communication and organisational skills.
