**KEY RESPONSIBILITIES**

**_ Staff movements administration_**

**Staff Files**
- Ensures up to date personnel files for all staff
- Opens new staff files and collates documentation
- Assist in the implementation and maintenance of the HR databases e.g. Travel profile, archive database, employee years of experience etc.
- Maintain and update employee information database

**New employee Induction and leaving employee off boarding**
- Manage New Employee onboarding and leaving employee off boarding administration
- Facilitates and manages the three-month new employee orientation program to ensure effective integration of new staff into the company and sees to related administration in this regard
- Ensure the release onboarding and off boarding surveys
- Liaise with IT & Corporate services as regards to setup of new employee hardware and software requirement and ensure implementation and sign off before new joiner commences
- Liaise with Corporate Services as regards to new employee office setup requirements
- Liaise with leaving employee and manager as regards to off boarding requirements

**Performance Management**
- Maintains records of completed performance reviews per employee in SAGE
- ** **Updates and maintains the Pharma Dynamics online jobs portal.
- Upload and deactivate new vacancies as they arise

**Recruitment and Selection**
- Set up interviews.
- PPA & IP200 Administration
- Ensures documentation is maintained and filed
- Also maintains a database of all previous recruitments for future reference.
- Ensures that all “take on” documentation is completed (medical, provident etc.)

**_ Other HR Administration_**

**Skills Development and Employment Equity**
- In conjunction with the Senior HR Business Partner, ensures that all internal training activities are recorded and that attendance registers are signed by all attendees
- Records external company training activities for skills development reporting purposes
- Assists Senior HR Officer in collating information to complete the Annual Training Plan and Workplace Skills Plan on an annual basis
- Complete the skills development return within the required deadlines in order to ensure maximum refund of skills levies

**Policies and Procedures**
- Updates the HR Policies and Procedures manual and ensures latest version is on the shared drive
- Maintains templates for letters of appointment, maternity leave, short term contracts etc.

**Secretary of Pharma Dynamics Social Committee and Wellness Initiatives**
- Minute taking and distribution to committee members
- Maintain allocated budget and ensure no over expenditure
- Ensure agreed projects are implemented and executed
- Plan & Execute Company-wide social initiatives

**Payroll Management**
- Oversee calculations and processing of payroll information i.e. increases, earnings, deductions, perks tax, allowances, bonuses, BCEA leave, movement of staff (transfers, promotion, resignations, retirements, etc), administrative procedures and complete documentation regarding movements
- Responsible for calculating and administering short term incentives such as 13th cheques, management bonuses, retention bonuses and other variable pay schemes
- Maintain documentation relating to the Lupin ESOP scheme
- In conjunction with the HR Executive & CFO Review final pay run, print reports and payslips and ensure backups of monthly payruns
- In conjunction with Finance reporting team conduct and review reconciliation reports
- Support staff in understanding their payslips including deductions
- Liaise with Finance, auditors and other third parties regarding payroll issues
- Attend to any other payroll related responsibilities as required, including confirmation of employment

**Other**
- Conduct confirmation of employment for third parties
- Sees to any other HR administrative functions or activities as required from time to time
- Staff Letters - Visa & SARS etc
- Manage staff notifications on Intranet.
- Work with digital team to manage social media channels
- Policy Passport Administration

**PRE-REQUISITES**
- Relevant HR Degree or Diploma
- Minimum of three year’s experience preferred
- SAGE experience

**T**ECHNICAL COMPETENCIES REQUIRED**
- Computer literate on MS Word, MS Excel and MS Access
- HR systems and / or payroll experience advantageous
