We are seeking a highly organized and efficient Office Administrator to join our team. The Office Administrator will play a crucial role in ensuring the smooth day-to-day operations of our office. This individual will be responsible for handling administrative tasks, assist in managing office resources, and supporting various departments in their administrative needs.

This position is a one-year fixed term contract, and full time from Mondays to Fridays, 08:00- 17:00. The working hours are hybrid with three days in the office and two days remote from home.

**Responsibilities (but not limited to)**
- **Administration**_
- Greet visitors, answer incoming calls, and direct inquiries to the appropriate personnel.
- Manage the reception area, ensuring a welcoming and professional environment.
- Assist in scheduling meetings, coordinating appointments, and maintaining calendars.
- Draft, proofread, and edit correspondence, reports, and other documents.
- Maintain and update company records, databases, and filing systems (hard and soft versions)
- **Office Support**_
- Monitor and order office supplies, ensuring inventory levels are maintained.
- Coordinate office maintenance and repairs as needed.
- Organize and maintain a clean and organized office space.
- Manage office equipment, including printers, copiers, and computers.
- Assist in the planning and execution of company events and meetings.
- **Communication**_
- Facilitate internal and external communication, ensuring messages are relayed promptly.
- Distribute internal memos, announcements, and other relevant information.
- Respond to inquiries and requests in a professional and timely manner.
- **Vendor Management**_
- Liaise with vendors and service providers to ensure smooth delivery of services.
- Compare quotes and negotiate pricing for office supplies and services.
- Maintain vendor relationships and evaluate their performance.
- **Financial Administration**_
- Assist in expense tracking and reporting, ensuring accuracy and adherence to budgets.
- Process invoices, purchase orders, and reimbursements.
- Collaborate with the finance department to manage office-related financial tasks.
- **Team Support**_
- Provide administrative assistance to various departments as needed.
- Support employees with travel arrangements and accommodations.

**Qualifications, experience and skills.**
- Matric
- A tertiary qualification in administration is a plus.
- 3- 5 years proven experience in office administration or a related role.
- Strong organizational skills and attention to detail.
- Proficient in Microsoft Office Suite and basic office software.
- Excellent written and verbal communication skills.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Demonstrated problem-solving abilities and a proactive mindset.
- Professional demeanor and strong interpersonal skills.
- Familiarity with basic financial and budgeting principles is a plus.
- **Must haves**_:

- Fibre internet and back up for loadshedding already installed.
- Reside in the southern peninsula area of Cape Town, close to Westlake Square.

**Salary**: R10,000.00 per month
