The position comprise of the full administration portfolio which includes but is not limited to day to day admin, data capturing, payroll, buying in raw materials, invoicing, debtors etc.

Attention to detail is key. As the Administrator you would form part of the company's management team that drives the business forward.

administrator|financial administrator|hr admin|office administration|production administration

General day to day admin duties will include:

  • Complete events/market/supplier registration forms
  • Filling
  • Update customer profiles when necessary
  • General day to day office admin
  • Assist with admin of food safety implementation.
  • Systems management and implementation

HR admin dutues include:

  • Basic HR administration
  • Contracts, employee forms, record keeping and maintain of employee's personal details, filing of leave forms, birthday tracking and cake arrangement etc.
  • Payroll data capturing (monthly)
  • Updating and maintaining company policies in conjunction with management

Production admin duties include:

  • Liaise with customers re dispatch of orders.
  • Work alongside dispatch controller
  • Stock management of front counter (Stock take, Petty cash, recon & new stock)
  • Manage incoming orders according to order/dispatch dates.

Financial administrator:

  • Daily processing on Xero full financial function up to trial balance (Debtors /creditors / bank processing) This includes customer & supplier recons.
  • Manage creditors/debtors for cashflow purposes
  • Work closely with accountants regarding daily/weekly/monthly tasks.
  • Become expert in production planning software (Dear Manufacturing).
  • Manage Online orders (Wordpress)
  • Maintain accurate spreadsheet of stock and product movement (Include stock take of products on daily basis)
  • Capturing stock reports and reconciling with dispatch/warehouse stock.
  • Receive/sign for good and document deliveries when necessary.
  • Placing orders with suppliers
  • Update prices
  • Sourcing products or suppliers

Requirements include:

  • Grade 12 or higher qualification
  • Accounting background or experience preferably Xero.
  • Production plant experience would be beneficial but not mandatory
  • Detail orientated
  • Ambitions and willing to learn, with a strong sense of admin
  • Selfstarted
  • Systems orientated (systematic, methodical approach to work)
  • Exceptionally organised.
  • Be interested/have a affinity for numbers/finance
  • Be focussed on getting the job done accurately.
  • Problem solver or think on their feet being a production based business real time solutions is a must
  • Can understand the bigger picture, assess the problem, and find a solution.
  • Meticulous at maintaining accurate filling and spreadsheets.
  • Adaptable working in an SME the job scope might be wide an varied
