Key Responsibilities

The Executive Office Coordinator will be responsible for:

  • Managing the Chief Executive Officer's schedule, prioritizing tasks, and arranging internal and external meetings.
  • Handling sensitive information, maintaining effective filing and data storage, and ensuring the needs of the Chief Executive are met.
  • Providing full personal assistant support, dealing with correspondence and calls, drafting routine letters, minute meetings, taking messages, and performing other administrative tasks as required.
  • Supporting Board of Director meetings, ensuring meetings are properly arranged and serviced, and following up action points.
  • Assisting the Chief Executive Officer in keeping the Board of Directors informed about the work of the organization.
  • Servicing meetings of the Executive team, drafting and collating papers and reports, preparing manageable agendas, taking minutes, and following up on action points.
  • Planning and managing key organizational events, conferences, strategy days, staff briefings, and others as required.
  • Performing any other duties relevant to the needs of the organization and as directed.
