Executive Personal Assistant

- Bachelors degree in business administration, Communications, or a related field preferred.
- Minimum of 2 years of experience in an administrative support role, preferably in a corporate setting
- Administrative Support:
- Assist the Executive PA with day-to-day administrative tasks
- Manage phone calls, emails, and correspondence on behalf of the Executive PA
- Scheduling and Coordination:
- Help organize and maintain the executives calendar, including scheduling meetings, appointments, and travel arrangements
- Coordinate logistics for meetings, including booking venues, arranging catering, and preparing meeting materials
- Ensure all necessary arrangements for executive travel, including itinerary planning, transportation, and accommodations
- Information Management:
- Maintain and update confidential files and records
- Assist in the preparation of reports and presentations for executive meetings
- Manage databases and filing systems to ensure easy retrieval of information
- Communication
- Act as a liaison between the Executive PA and internal/external stakeholders
- Draft, proofread, and edit communications as required
- Ensure timely and effective communication between the executive office and other departments
- Special Projects
- Assist with special projects as directed by the Executive PA
- Conduct research and gather information for various initiatives and reports
- Support the planning and execution of corporate events and functions
- General Office Duties
- Order and maintain office supplies
- Ensure the executive office is tidy and well-organized
- Perform other duties as assigned by the Executive PA or executive team
- Excellent organizational and time management skills
- Strong written and verbal communication skills
