We are seeking a highly skilled and experienced Document Management Coordinator to join our team.

Salary

The estimated salary for this position is R350,000 - R450,000 per annum, depending on experience.

Job Description

We are looking for a professional with excellent administration skills to oversee the preparation and management of project documents. As a Document Management Coordinator, you will be responsible for ensuring timely, accurate, and efficient control of document numbering, sorting, filing, record keeping, retention, and retrieval.

You will work closely with technical teams, projects, or departments to ensure that all project objectives are met and that everyone within the project team is delivering to their commitments.

Your key responsibilities will include:

  • Setting up and maintaining project communication plans, including coordination of governance meetings (internal and external).
  • Compiling, recording, distributing, and following up on project meeting agendas, collateral, minutes, and actions.
  • Preparing and distributing other project reporting as outlined in the communications plan.
  • Creating and regularly updating project management plans and project control documentation, including risk registers, change request registers, and milestones registers.
  • Capturing project resource forecasting on Workflow/SharePoint.
  • Participating in lessons learned and updating the lessons learned register.
  • Ensuring project documents and records are created, controlled, approved, and distributed in line with corporate policy and customer requirements.

Qualifications and Experience

A matric certificate and Office Administration Certification are required.

At least 3 years' experience in a similar position is necessary, with a minimum of 2 years' experience in the telecommunications industry.
