Executive Assistant/office Manager to The CEO

**Roles and Responsibility**
- Serve as the first point of contact to answer, screen and transfer incoming calls as well as office visitors to the CEO
- Follow up on all issues until resolution and achieve.
- Control correspondences.
- Liaise with other agencies, organizations and groups on behalf of CEO
- Maintain office equipment.
- Maintain office records
- Design filing systems & ensure filing systems are maintained and up to date.
- Manage and maintain CEOs calendar including scheduling appointments, internal/external meetings and conference calls.
- Coordinate CEOs travel itineraries, flights, hotel accommodation, rental car and other travel needs.
- Draft and edit correspondence, communications, presentations and other documents on behalf of CEO
- Complete monthly expense reconciliation for CEOs corporate credit card and out of pocket expenses.
- Secure appropriate signatures and track documents through the approval process on behalf of CEO.
- Serve as a liaison with internal staff at all levels.
- Interact with external partners as well as Motsepe Group leadership.
- Prepare agendas for meetings, briefing materials and presentations as needed to support the CEO.
- Provide administrative support to CEO in order to increase his availability for executive level responsibilities

**Skills and Abilities to**:

- Perform responsible and difficult secretarial work involving the use of independent judgment and personal initiative.
- Understand the organization and operation of assigned office as necessary to assume assigned responsibilities.
- Work with internal stakeholders to provide support and assistance to the executive office
- Maintain confidential and administrative records and files.
- Ability to work well under limited supervision.
- Establish and maintain cooperative working relationships with those contacted in the course of work.
- Operate a variety of office machines and type at a speed necessary for successful job performance.
- Communicate clearly and concisely, both orally and in writing.
- Well organised and structured
- Good writing skills

**Educational Requirements**
- Degree in Office Administration and any other related qualification.
- Experience as an office assistant or in a related field.
- Warm personality with strong communication skills
- Have a valid driver's license.
