Office Manager to The CEO

Primary objective of this role is **to provide a strategic and confidential support services to the Chief Executive Officer** in all aspects
**Responsibilities**
- Ensures the smooth running of the CEO’s office operations including strategic documents.
- Drive the organisation’s corporate governance and compliance, ensuring alignment of Brand and procedures to ensure best project delivery.
- Provides executive assistance to the CEO in an effective and efficient manner.
- Act as the CEO’s first point of contact with people from both inside and outside the organisation.
- Be the CEO’s representative and point of contact with the organisation’s divisions, partners, and stakeholders.
- Provide high-level strategic support to the CEO in planning, executing, and ensuring the success of the CEO’s mandate.
- Act as a link between CEO and executives of businesses and functional units;
- Organizes and coordinates internal and external relations efforts and oversees special projects.
- the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion, ethics and integrity.
**2. Provide strategic and Executive support to the CEO**
- Assist with the coordination of the development and implementation of the corporate plan through planning and project management of required activities and inputs from executives.
- Undertake project/programme management initiatives as directed by the CEO.
- Review the organisations Strategic Risk register as prepared by Risk Management and keep CEO up to date on lack of progress on identified risk areas and on emerging risks
- To provide strategic and efficient administrative support to all strategic documents.
- Prepare presentations for strategic platforms that requires CEO’s participation.
- Responsible for coordination of CEO’s strategic platforms.
- Communicates directly, and on behalf of the CEO, with stakeholders, on matters related to CEO’s programmatic initiatives.
- Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the CEO.
**3. Office Management**
- Coordinate and manage the development of the Office budget - short and long term and ensure alignment to the business plan and balanced scorecard.
- Liaise and consult with the CEO’s PA on a continuous basis to ensure effective flow of documents/work and office procedures.
- Procurement of professional services on behalf of CEO by preparing the relevant documents in accordance with policy
- Support the management of all external service provider arrangements/agreements on behalf of the CEO.
- Brief and prepare the CEO in advance of meetings.
**4. People Management**
- Oversee the manager’s team workforce to ensure that the workforce works as a team and remains motivated through operational plans and performance evaluations.
- Oversee Management and administration of the annual calendar of programs, activities, and events.
- Provide ongoing feedback to the team to ensure they develop the skills and competencies required for effective planning and individual professional and personal career growth.
- Driving the company’s operational capabilities to surpass customer satisfaction and retention.
**Financial Management**
- Develop and manage a budget for all the operations of the organization.
- Monitor expenditure with variance explanations.
- Assist in improving and strengthening the financial viability, risk management, and governance.
- Report to the Board and/or Committees as and when required.
**Minimum Requirements**
5 years’ experience in office management of which 3 years should be in a management role.
Degree in business management/ public administration/ education or equivalent
Further qualification or experience in project management

- Knowledge of Operational Systems.
- Organisational processes and policies.
- Administrative and document management systems.
- Understanding of marketing and communications environment.
- Business performance measurement (strategic, operational, and financial)
- Budgeting
- Understanding of protocol matters with regard to government, parliament, and other key stakeholders
- MS office (Word, PowerPoint, Excel, Visio)
**Salary**: R40,000.00 - R60,000.00 per month
Ability to commute/relocate:
- PE, Eastern Cape: Reliably commute or planning to relocate before starting work (required)
