Executive Personal Assistant to CEO

**A vacancy for an Executive Personal Assistant to the CEO has become available at a retail company based in Paarden Island. The role requires the incumbent to be dynamic, organized, well-spoken with proven experience in an assistant role at an executive level. You must have strong Outlook, Powerpoint and excel skills with at least 3 years of relevant past work experience. The person must be able to work well under pressure and be able to multitask. The salary is based on past experience. The applicant must have at least 5 years of relevant work experience.**
**The position is a full time in office position based in Paarden Eiland and require the incumbent to have their own vehicle. You must have a clear credit history and positive refence letter from your last 2 employers. They are looking for someone to start soonest so if you are available immediately this will be an advantage.**
**Job purpose**
**KEY RESPONSIBILITIES**
1. Set-up, reminding and rescheduling of appointments.
2. Uphold and maintain all correspondence and communications:
b. Answering and screening phone calls.
c. Minutes and schedules.
d. Messages and notes.
e. Departmental communications.
f. Reception of visitors.
3. Execute business errands if required:
a. Travel Planning and Arrangements
b. Execute event planning if required.
4. Execute general administrative duties.
a. Implement procedures.
b. Filing - relevant projects documentation.
c. Set-up meetings - with staff and clients.
d. Database Management.
e. Presentation Preparation.
f. Reports as required.
g. Research.
5. Project Management
a. Prepare documentation for faulty products.
b. Prepare documentation for service calls.
c. Obtain relevant information for installations.
d. Quotations.
e. Tracking stock and drafting forecasts.
f. Following up as required, on quotes and installations.
g. Handle enquiries and follow through as required.
h. Cultivating relationships and maintain viable relationships with customers and corporate accounts.
i. Confirmation of project completion.
6. Assistance to Accounts Department
7. Execute private errands if required:
b. Filing personal documentation.
c. Submission of private and personal information as required.
8. Ad-Hoc Requirements
a. Support and assistance to other management as required.
b. Complete tasks assigned from other management.
9. Attend company events.
**Qualifications, Educational Requirements and Skills**
- Proven working experience to support upper-level management.
- Financial background.
- Excellent organizational and time management skills.
- Degree / Diploma relating to Administration or Management.
- Excellent ability to multi-task.
- Detail-oriented.
- High ethical values.
- Excellent interpersonal abilities.
**ADDITIONAL INFORMATION**
