We are seeking a highly energized, extremely organized and proactive Executive, personal and professional Assistant to support our CEO & Co-Founder in both professional and personal capacities. This role requires a detail-oriented individual who can manage a variety of tasks, maintain confidentiality, and act as a reliable point of contact. The Executive Assistant will be responsible for managing the CEO's calendar, coordinating meetings, handling communications, and assisting with personal errands and tasks.
- Career Executive Assistant - 10 years of experience plus. Min 5 years C suite experience
- Must be proficient and reliant on EXCEL.

**Key Responsibilities**:
- ** Professional Support**:
- ** Calendar Management**:
- Schedule and manage the CEO’s professional calendar, including meetings, appointments, and travel arrangements.
- Ensure all meeting rooms, locations and equipment are booked and prepared for all meetings.
- ** Communication**:
- Collaborate with multiple stakeholders to ensure ease of flow and access of information for the CEO.
- ** Meeting Coordination**:
- Organize and prepare for meetings, including setting agendas, taking minutes, and following up on action items.
- ** Document Management**:
- Maintain and organize important documents, files, and records.
- Ensure all documents are accessible and up-to-date.
- Ensure all relevant documentation are signed off and approved by relevant stakeholders, and integrity of information is upheld.
- ** Project Management**:
- Assist with special projects, research, and presentations.
- Track project progress and ensure deadlines are met and progress is communicated well.
- Ensure flow of information and action items by incorporating the relevant individuals.
- ** Travel Coordination**:
- Arrange detailed travel plans, itineraries, and agendas; ensuring all documentation, visas and arrangements are secured for all travel.
- Handle travel-related tasks such as booking flights, accommodations, and transportation.
- Ensure all travel destinations are equipped with the relevant equipment, accessibilities and requirements as per the CEO.

- Personal Errands:
- Assist with personal tasks such as shopping, appointments, and household management.
- Assist with childcare management and transportation.
- Event Planning:
- Coordinate personal events and engagements, including social gatherings and family events.
- Household Management:
- Liaise with household members and staff/service providers as needed.
- Financial Management:
- Assist with personal finances, including bill payments and expense tracking along with finance and accounting teams.

- Experience:
- Minimum of 7 years of experience as an executive assistant or in a similar role.
- Skills:
- Proficient and reliant in excel
- Travel management
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Google Suite and other office software.
- Ability to multitask and prioritize tasks effectively.
- Discretion and confidentiality in handling sensitive information.
- Strong problem-solving abilities and attention to detail.
- Proactive, resourceful, and able to work independently and with a team.
