Provide administrative services and support to the full range of Utilities activities undertaken by the Utilities team.

Role location

Growthpoint Head Office in Sandton, Johannesburg.

Reporting Manager
The Utilities Administrator reports to the Utilities Manager.

Direct Subordinates
No direct subordinates.

Budget Responsibility
No budget responsibility.

Duties and responsibilities
- Plan, organize and direct the operations and activities of the municipal utilities maintenance and operation effort.
- Provide operational administration, including on-going liaison with the municipalities.
- Handle and resolve complaints from the SBU’s concerning departmental and municipality activities.
- Direct long-range planning of utility systems and accordingly program capital improvement projects.
- Periodically inspect organizational utility system facilities for deficiencies and recommend corrective action and priorities of work.
- Direct the maintenance and repair of utility equipment, to various stakeholders
- Direct and oversee the operations and housekeeping of the utility sites and facilities.
- Collect plans, diagrams, and specifications for maintenance projects.
- Ensure that an adequate inventory of materials, supplies, parts, and equipment for the Utility Section work program is always available.
- Review, inspect, and monitor compliance in each portfolio/building relating to Utility Section operational activities.
- Prioritize the functions of the Utility Section activities, makes appropriate recommendations in the operation of facilities, and implements necessary rules and procedures.
- Log queries with municipalities in terms of water leak, burst pipes, cable theft to the relevant department within the municipality reference numbers and follow ups
- Assist the specialists with drafting letters and consolidating all supporting documents for credit and refunds from the municipality
- Cancellation of services e.g refuse contracts
- Bank guarantee’s, Eskom agreements
- Name changes
- Update various spreadsheets and reports
- Internal acquisition and disposal spreadsheet
- Service provider contracts Cancellations & Appointments (Refuse)
- Vat & Entity Name Change
- Expense Sheet / Municipal Tracking List
- Accrual list
- To attend monthly meetings with Rateswatch
- Facilitate Monthly meetings with creditors and internal stakeholder if required
- Assist with reconciliation of assets across the sectors (Audits infrastructure) recoveries
- Assist where needed in any administration of waste-water treatment plant, including on-going liaison with the municipalities.
- Minute taking for monthly meetings for the Utilities team, Creditors, Rateswatch
- Consolidate reports from the for monthly feedback / reporting to Stakeholders
- Keep track of external service providers 3rd parties (Outsourcing) - update schedules and follow up on work done
- Assist adhoc day to day queries that may arise

Experience

2 to 3 years related experience working in the environment with municipalities.

**Qualifications**:

- A relevant National Diploma or equivalent.
- A Bachelor’s degree qualification would be advantageous.
- Project Management.
