Job description
- Ensure that all calls are answered promptly (within 3 rings)
- Greeting must be clear and consistent
- Maintain a strong, clear and pleasant tone of voice throughout all calls
- Always be polite and courteous
- Ensure that information, branch contact details addresses etc are readily available in order to answer customer queries efficiently
- Maintain and update employee, department and branch directories
- Direct calls to the relevant employee/extension
- Ensure that messages are accurate
- Deliver messages to the people concerned as soon as possible
- Keep calm when dealing with angry customers
- Handle according to the HEAT principle
- Always be polite and courteous
- Greet visitors professionally, as per company requirements
- Maintain a formal but friendly manner
- Inform the relevant employee of the arrival of the visitor
- Offer refreshments
- Maintain a safe and clean reception area by complying with policy and procedures
- Ensure that the desk is tidy at all times
- Ensure that magazines etc. are neatly stacked
- Remove used crockery from the reception area immediately after use
- Receive and sort mail, deliveries, courier parcels
- Ensure delivery to the correct department/person immediately
- Assist marketing and Customer Care with any distribution of material to branches or any supplier, client.
- Ensure adherence to company dress code always dress in a manner fitting to the requirements of the position
- Handle colleagues and visitors according to the Atlas Finance Values and treat with respect at all times
- Comply with any other lawful and reasonable instructions which are in line with the previous capabilities.
