Purpose of Role:


The purpose of the Support Office Receptionist and Personal Assistant at SPARK is to focus on all of the Support Office Operations.

Ensuring that the office is running as smoothly and efficiently as possible, while meeting the expectations of all the different teams.

Network Operations Manager

Responsibilities:

Support Office reception:

  • Welcoming all visitors to the Support Office
  • Answering the SPARK main telephone line and ensuring all calls are routed or returned as required
  • Maintaining an accurate Support attendance register, visitors log and relevant visitor arrangements

Support Office operations:

  • Managing the Support Office space, for example booking meeting rooms
  • Planning inhouse and offsite functions for SPARK Support
  • Organizing refreshments and catering and setting up for functions
  • Maintaining the SPARK Support Culture which includes Town Hall Meetings, SPARK Lite and other activities that bring teams together
  • Assisting in the onboarding process for new hires
  • Maintaining the Support Office supplies tracking consumables, ensuring all supplies are available and limiting waste
  • Completing periodic asset (furniture and equipment) counts
  • Managing the Support Office budget, including reconciliations and recommending cost saving initiatives
  • Managing the Support Office parking allocations and landlord relationships
  • Contributing to the Generation and maintaining the policies for all office operations
  • Managing the Support Office operations and hospitality team
  • Managing the receipt and sending of courier parcels and deliveries
  • Maintaining office operations including logging tickets for required repairs and maintenance, overseeing renovations and maintenance projects, ensuring the building adheres to health and safety standards, and maintaining security of the facility tracking access
  • Participating in committees, for example the SHE committee
  • Ensuring the Support Office is neat and tidy at all times including all cupboards, store rooms and content displayed on the walls

Personal Assistant duties:

  • Booking travel, accommodation, car hire and transport for Support employees
  • Providing ad hoc administrative support to CEO and COO (e.g. printing, reconciliations, research, ticket logging, typing)
  • Managing overarching business calendars for example tracking dates of school terms, events, functions, employee birthdays

Requirements:

Qualifications and Criteria:

  • Relevant Certification, Diploma or Degree in Office Administration/Operations
years' experience in office administration and support services

  • Clear Criminal record
