Operations Secretary Job Description

Telebest is seeking a highly skilled Operations Secretary to join our team in Ormonde. As a key member of our operations team, you will be responsible for providing administrative support to our directors and ensuring the smooth operation of our business.

Key Responsibilities:
  • Manage the operational teams' daily, weekly, and monthly diaries, ensuring timely completion of tasks and deadlines.
  • Execute personal assistant duties for our directors, including scheduling appointments, making travel arrangements, and handling correspondence.
  • Oversee logistics management, time management, and deadline-driven approaches to ensure efficient operations.
  • Set reminders and follow up on deadlines to ensure compliance and timely completion of tasks.
  • Manage bookings, travel arrangements, and logistics for our operations team, including courier services and supplier quotations.
  • Process invoices and quotations from suppliers and third parties, ensuring timely approval and payment.
  • Coordinate travel and accommodation arrangements for our operations team.
  • Ensure compliance with legal issues, insurance requirements, and governance standards.
  • Answer all calls coming in through the switchboard, providing exceptional customer service and support.
Requirements:
  • Matriculation certificate
  • Administration qualification advantageous
  • 5-10+ years' experience as a secretary for executive-level management
  • Above-average communication, administration, and computer literacy skills
  • Reliable vehicle ownership
  • Retail background or back-office administration experience advantageous
  • Basic accounting knowledge preferable
