Operations Secretary Job Description

Telebest is seeking an experienced Operations Secretary to join our team in Ormonde. As an Operations Secretary, you will play a crucial role in supporting our executive team and ensuring the smooth operation of our business.

Key Responsibilities:
  • Manage the Operational Teams' daily, weekly, and monthly diaries, ensuring timely completion of tasks and deadlines.
  • Provide exceptional administrative support to our Directors, including personal assistant duties and executing processes on logistics management, time management, and deadline-driven approaches.
  • Coordinate travel arrangements, manage bookings, and ensure compliance with legal issues, insurance requirements, and governance.
  • Manage invoicing and quotations from suppliers or third parties, ensuring timely approval and processing.
  • Answer all calls coming in through the Switchboard, providing excellent customer service and support.
Requirements:
  • Matric qualification
  • Administration qualification advantageous
  • 5-10+ years' experience in a secretary role for an executive level of management
  • Above-average communication, administration, and computer literacy skills
  • Own reliable vehicle
  • Retail background or back-office administration experience advantageous
  • Basic accounting knowledge preferable
