Job Description:

We are seeking a highly skilled and experienced Export Operations Coordinator to join our team at Staff Unlimited Recruitment. This is a full-time position that requires strong organizational, communication, and problem-solving skills.

Job Summary:

The Export Operations Coordinator will be responsible for controlling and facilitating ocean freight exports, ensuring timely and efficient delivery of goods to customers. This role involves working closely with various stakeholders, including shipping lines, co-loaders, and customs authorities.

Key Responsibilities:
  • Manage the export process from receipt of order to final delivery, adhering to Incoterms 2020 guidelines.
  • Request and confirm booking details from shipping lines/co-loaders.
  • Register files on Cargo Wise and update real-time records.
  • Inform transporters of planned export shipments via collection/delivery instructions.
  • Monitor pick-up and pack dates in accordance with firm stacks, updating Cargo Wise records.
  • Ensure commercial documentation accuracy for customs clearance purposes.
  • Process customs declarations in compliance with the Customs and Excise Act 91 of 1964.
  • Coordinate customs exams and follow-ups.
  • Arrange for inspection and certificates (EUR1/COO/GSP/CNCA/ISF Filing).
  • Capture and arrange shipping instructions/Bills of Lading – error-free.
  • Confirm vessel sailing and container shipment on board.
  • Process cargo dues.
  • Update internal work notes on Cargo Wise – real-time.
  • Generate status reports to customers daily/progressively regarding shipment milestones.
  • Stack containers within prescribed times.
  • Prepare costing sheets and ensure invoices are sent to customers within KPIs.
  • Reconcile 3rd-party invoices and send to head office for payment within transactional periods.
  • Evaluate and resolve problems presented by team members.
  • Update milestones and internal work notes on Cargo Wise – real-time.
  • Maintain quality focus in every task.
  • Assist in activities of team members.
Management of Financials:
  • Verify customer credit terms prior to proceeding with shipments.
  • Account for profit/loss on shipments.
  • Negotiate rates to ensure maximum profit.
  • Reconcile all 3rd-party invoices.
  • Manage finance in operations – WIP (KPI < 14 dwell days), Accruals (KPI < 60 dwell days) and out of transaction losses.
Customer Relationship Management:
  • Liaise with client services representatives/customers daily, advising them of collection/delivery and shipment status.
Process Facilitation and Management:
  • Receive orders from clients, obtain necessary documentation.
  • Obtain sailing schedules in accordance with cargo readiness dates.
  • Arrange/approve certificates (EUR1/COO/GSP/CNCA/ISF Filing).
  • Complete/close shipments according to company SOP/ISO standards.
Quality Management:
  • Check and double-check for minimal/no errors.
  • Provide quality service to customers, exceeding expectations.
  • Ensure first-time correctness.
Requirements:
  • Degree requirement: Matric certificate.
  • Experience requirement: Minimum 3-5 years ocean freight imports experience.
  • Customs procedures understanding: Strong knowledge.

Estimated salary: R350,000 - R450,000 per annum, depending on experience.
