The Customer Support Specialist position at Ultra Personnel is an exciting opportunity for individuals who thrive in a fast-paced environment and possess exceptional communication skills. This role requires a minimum of 3 years of experience in customer support, preferably in a medical setting with consignment stock management.

Responsibilities include:

  • Processing orders received through Orderwise, Surgicom, and our Service Level Agreement
  • Liaising with customers telephonically and via email
  • Dealing with Sales Consultants regarding queries, requests, sales orders, kits, and backorders
  • Sending invoices for consignment orders to customers and Sales Consultants
  • Replacing consignment stock used by customers
  • Moving stock when collection/delivery arrangements are made
  • Allocating stock for orders
  • Preparing pro-forma invoices
  • Performing general administrative duties, including regular filing
  • Arranging collections and deliveries by completing the required template and sending it to Logistics
  • Following up on collections and delivery requests
  • Obtaining approval for credits to be passed
  • Credits and re-invoices to be done on the same day
  • Booking out kits as needed
  • Assisting with after-hours emergency calls if required
  • Removing consignment items invoiced from QWIX
  • Investigating errors on QWIX transfers done by Sales Consultants
  • Checking stock availability for Sales Consultants
  • Applying transfers on QWIX
  • Generating quotes for Midsouth
  • Invoicing Government orders according to tender pricing
  • Generating ROE lists and submitting ROEs monthly
  • Removing and invoicing items from WIP
  • Replenishing C6 (CT warehouse) weekly

The ideal candidate will possess strong administration and communication skills, proficiency in MS Office, specifically Excel (advanced), and computer literacy in Syspro. They will also have excellent organizational skills, good telephone skills, accuracy, and a team-player mentality.
