Job Summary

The role of a Testing Centre Administrator at CTU Career Chatz is to ensure the security of test materials, verify the identity of testing candidates, and provide administrative support to the examination centre. This position requires a high level of professionalism, attention to detail, and excellent communication skills.

Key Responsibilities
  • Proctor all exams with utmost security measures
  • Ordering of vouchers and confirming exam appointments in a timely manner
  • Registering first-time students on the vendor and ensuring their details are correct
  • Ensuring all safety and security regulations are followed
  • Recertifying all exams on a yearly basis
  • Applying and administering all activities surrounding exams
  • Recording keeping of all international exams and sending statistics to the Head TCA in a timely manner
  • Ensuring all finances are up to date before allowing students to write international exams
  • Recording keeping of all bookings and vouchers ordered and received
  • Preventing unauthorized access to the exam centre
  • Continuous follow-up and tracking of incidents
  • Notifying the COM and Head TCA of any pertinent issues
  • Maintaining system software up to date and stock count of all PCs in the testing centre
  • COM to sign off on international prelims before booking of career students
  • Accurate capturing of delegate information on the system
  • Phone and email delegates to confirm appointments
  • Welcoming all clients warmly
  • Answering the telephone within three rings
  • Maintaining office security by following safety procedures and controlling access via the reception desk
  • Assisting clients with enquiries when able to assist
  • Assisting with queries via email and telephone from various clients
  • Ensuring all Health and Safety requirements are followed as per SOP
  • Maintaining the reception area in a professional, tidy, and presentable manner
  • Updating calendars and scheduling meetings
  • Informing the Campus Operational Manager of client/student concerns in a timely manner
  • Keeping up to date with program fees and new promotions running
  • Capturing of data cards within 2 days of receipt – keeping record in file
  • Mining CCP leads and applications
  • Communicating and quoting for prospective 2nd/3rd year enrolments
  • Phoning to make Open Day bookings
  • Treating all staff, students, and clients with respect
  • Meeting deadlines
  • Performing other clerical receptionist duties such as filing and photocopying
Requirements
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Time-management skills, with the ability to prioritize tasks
  • Customer Service attitude
Relationships

This position will be trained by the COM and Head TCA with ongoing support and supervision.
