Job Title: Testing Centre Administrator

At CTU Career Chatz, we are seeking a highly organized and detail-oriented individual to join our team as a Testing Centre Administrator. This role is responsible for ensuring the smooth operation of our testing centre, providing exceptional customer service, and maintaining the highest level of security and integrity in our examination processes.

Key Responsibilities:
  • Proctor exams with the utmost security measures
  • Order vouchers and confirm exam appointments in a timely manner
  • Register new students on the vendor and ensure their details are accurate
  • Ensure all safety and security regulations are followed
  • Recertify exams on a yearly basis
  • Apply and administer all activities surrounding exams
  • Record keeping of all international exams and send statistics to the Head TCA
  • Ensure all finances are up to date before allowing students to write international exams
  • Record keeping of all bookings and vouchers ordered and received
  • Ensure no unauthorized access to the exam centre
  • Continuous follow-up and tracking of incidents
  • Notify the COM and Head TCA of any pertinent issues
  • Keep system software up to date and stock count of all PCs in the testing centre
  • COM to sign off on International Prelims before booking of career students
  • Accurate capturing of delegate information on the system
  • Phone and email delegates to confirm appointments
  • Welcome all clients warmly
  • Answer the telephone within three rings
  • Maintain office security by following safety procedures and controlling access via the reception desk
  • Assist clients with enquiries when able to assist
  • Assist with queries via email and telephone from various clients
  • Ensure all Health & Safety requirements are followed as per SOP
  • Manage and maintain the reception area to ensure it is professional, tidy, and presentable
  • Update calendars and schedule meetings
  • Ensure the Campus Operational Manager is informed of client/student concerns in a timely manner
  • Keep up to date with program fees and new promotions running
  • Capture Data Cards within 2 days of receipt and keep a record in a file
  • Mine CCP Leads and applications
  • Communicate and quote for prospective 2nd/3rd Year enrolments
  • Phone to make Open Day Bookings (May & October)
  • Treat all staff, students, and clients with respect
  • Meet deadlines
  • Perform other clerical receptionist duties such as filing and photocopying
Requirements:
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Time-Management skills, with the ability to prioritize tasks
  • Customer Service attitude
Relationships:

This position will be trained by the COM and Head TCA with ongoing support and supervision.
