High Level Executive Support Specialist

We are seeking a highly skilled High Level Executive Support Specialist to join our team at Recruitment Matters.
This role is ideal for an individual with excellent communication and time management skills, who can work well under pressure and meet deadlines.
The successful candidate will be responsible for providing high-level administrative support to the CEO and other Executive Committee members, serving as a liaison to the board of directors and senior management teams, and overseeing special projects.
Key Responsibilities:
- Sensitive Matter Management: Manage sensitive matters with a high level of confidentiality and discretion, ensuring the security of confidential information.
- Calendar Organization: Sustain a daily calendar of meetings and events, arranging travel and accommodation for executives as needed.
- Document Preparation: Prepare Word, Excel, PowerPoint presentations, agendas, reports, and other documents in support of organizational objectives.
- Expense Reporting: Prepare expense reports for executives, ensuring accurate and timely submissions.
- Communication Coordination: Screen incoming telephone calls, take and deliver accurate messages, respond to requests by gathering and providing information, and refer non-routine calls to the appropriate staff.
- CORRESPONDENCE MANAGEMENT: Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executive is involved with.
- Contact Management: Manage the Executive's contacts, ensuring up-to-date and accurate records.
- Presentation Assistance: Assist in preparing and managing presentations and decks, using discretion and good judgment when working with sensitive information.
- Email/Text/Phone Response: Be responsive to emails, texts, and phone calls, including contact outside normal business hours.
- Guest Welcome: Welcome the Executive's guests by greeting them, in person or on the phone, answering or directing inquiries.
- Judgment and Discretion: Use discretion, confidentiality, and good judgment to manage C-Level matters, representing the company and the Executive in a positive light.
- Time Conservation: Conserve the Executive's time by reading, researching, collecting, and analyzing information as needed, in advance.
- Ad-Hoc Projects: Complete ad-hoc projects as assigned – such as personal events and/or family needs.
- Complex Calendar Management: Organize complex calendars and schedules, resolving any scheduling issues.
Requirements:
- 5-8 Years of Experience: The ideal candidate will have 5-8 years of experience as a Personal Assistant and Public Relations Officer, with expertise in MS Excel, MS Word, and MS PowerPoint.
- Public Relations Degree: A degree in Public Relations or similar field is required.
- Excellent Communication Skills: Excellent oral and written communication skills are essential, along with the ability to work independently and accurately.
Salary Range: $60,000 - $80,000 per year, depending on experience and qualifications.
