Job Title: Service/Maintenance Manager

Main Purpose:

We are seeking a skilled Service/Maintenance Manager to lead our technical department. The ideal candidate will possess relevant qualifications and experience in mechanical engineering and the HVAC sector, demonstrating the capability to manage technical staff effectively.

Key Responsibilities:

  1. Ensure that all technical staff are aware of their tasks schedule and their expected level of service.
  2. Follow up on the monthly schedule and manage additions and changes to the schedule daily.
  3. Check test work sheets and inspection sheets to ensure work is carried out as scheduled.
  4. Follow up on filter requests by technical staff to ensure stock is delivered to site on time and to avoid unnecessary cost to company and clients.
  5. Schedule all incoming survey requirements as requested by customers and the sales department.
  6. Follow up on customer calls and concerns to ensure remedial action in the most expedient time possible as regulated by current circumstances.
  7. Hold weekly meetings with technical staff to ensure work is carried out as planned and make changes to the planned schedule when necessary.
  8. Follow up on overages that might occur, report on it to the customer and ensure detail is given through to the sales department to quote the customer accordingly.
  9. Monthly actions as agreed in the various customer service level agreements, currently the department is responsible for 48 SLAs.
  10. Plan the following months schedule of site visits for each customer service level agreement.
  11. Manage the data entry of all filter inspection work sheets completed for each customer.
  12. Ensure that a monthly report is generated, checked and delivered to each customer every month.
  13. Plan six monthly tests to be carried out at agreed sites.
  14. Ensure scheduling of six-monthly tests are arranged and approved by the customer.
  15. Managing the allocation of the six-monthly test work sheets for each technician to ensure tests will be carried out to the specified standards as agreed with customer.
  16. Responsible for setting up new monthly reports, inspection work sheets and six-monthly test reports to the required standard.
  17. Manage, maintain and improve monthly reports, inspection work sheets and six-monthly reports.
  18. Manage the maintaining of the filing of all test work sheets and inspection work sheets in the service department office.
  19. Manage the maintaining of the electronic filing of all test and service reports carried out for ad hoc orders received.
  20. Annual tasks related to managing technical labour and test instrumentation to ensure work can be carried out as planned for all customer SLAs and ad hoc testing orders received.
  21. Maintain a record of equipment calibration history and schedule all instruments due for calibration in time.
  22. Manage technical labour training to ensure skilled service is supplied to the various customers.
  23. Manage the scheduling of leave for all technical staff to ensure continuous service to customer satisfaction.
  24. Other tasks to assist sales with surveys and additional orders received that do not form part of SLAs.
  25. Manage and schedule surveys as requested by the sales department.
  26. Manage, schedule and ensure the carrying out of additional orders received for testing.
  27. Setting up, completing and ensuring delivery of additional order test reports to the standard agreed with the customer.
  28. Manage the maintaining of the filing of all test work sheets in the service department office for all ad hoc orders received.
  29. Manage the maintaining of the electronic filing of all test and service reports carried out for ad hoc orders received.
  30. Oversee technical staff and operations on a national level, including teams in Pretoria (PTA), Durban (DBN), and Cape Town (CT).
  31. Manage client relations & technical staff, including those based in neighbouring African countries, involving occasional air or road travel.
  32. Interact with a range of stakeholders, from tradesmen to senior management, ensuring effective communication and issue resolution.
  33. Be prepared to work after hours and on weekends as needed, overseeing and troubleshooting issues on-site.
  34. Responsible for obtaining stock and equipment after hours from stores as/when required.

Qualifications and Experience:

  • Bachelor's degree in Mechanical Engineering or a related field, or currently pursuing a degree or diploma in a similar discipline.
  • Minimum of 10 - 15 years of practical experience in the HVAC sector.
  • 2 – 5 years' experience in managing technical staff.
  • Fully PC Literate.
  • Proficiency in Microsoft Windows, Word, Excel, and Outlook.
  • Afrikaans Speaker

Additional Requirements:

  • Valid driver's license Code EB (trailer towing) with no endorsements.
  • Reside close company for ease of managing staff and retrieving stock and equipment.
  • Fully PC literate.
