We are seeking a highly organized and detail-oriented Receptionist to join our team at Staff Solutions Recruitment.
Key Responsibilities:- Switchboard Operation: Answer, screen, and direct incoming phone calls on the main switchboard, ensuring timely and efficient communication.
- Take and Forward Messages: Receive and forward messages to relevant personnel, maintaining a high level of professionalism and discretion.
- Test Lines and Report Faults: Regularly test phone lines and report any faults or issues to the relevant authorities.
- Customer Service: Provide exceptional customer service, resolving complaints and queries in a timely and professional manner.
- Manage Reception Area: Maintain a clean and organized reception area, ensuring a welcoming environment for visitors, suppliers, and customers.
- Direct Visitors: Greet and direct visitors, suppliers, and customers to the relevant personnel or areas.
- Administrative Tasks: Assist with various daily and routine administrative tasks, including data entry, filing, and record-keeping.
- Courier Deliveries: Manage and distribute courier deliveries, ensuring timely and efficient processing.
- Meet and Training Room Bookings: Oversee meet and training room bookings, ensuring smooth and efficient operations.
- Liaise with Housekeepers: Liaise with housekeepers to arrange refreshments for meetings and training sessions.
- Switchboard Programming: Update and manage switchboard programming, ensuring accurate and efficient call routing.
- Branch Verifications: Conduct branch verifications, ensuring accuracy and compliance with company policies.
- Purchasing for Branch: Assist with purchasing for the branch, ensuring timely and efficient procurement.
- Vehicle Fleet Management: Manage the vehicle fleet, ensuring compliance with company policies and regulations.
- Grade 12/Matric: Possess a Grade 12 or Matric certificate.
- Experience: Minimum of 3 years' experience in a similar position and environment, with exposure to general office administration duties.
- Computer Literacy: Proficient in MS Outlook, Word, and Excel, with a strong understanding of computer systems and software.
- Kerridge Proficiency: Proficiency in Kerridge is an advantage.
- Customer and Personal Service: Knowledge of customer and personal service principles and processes, including customer needs assessment, quality standards, and evaluation of customer satisfaction.
- Clerical Knowledge: Knowledge of administrative and clerical procedures and systems, including word processing, file management, and record-keeping.
- English Language: Strong understanding of the English language, including grammar, composition, and vocabulary.
- Computer and Electronics: Knowledge of electronic equipment, computer hardware, and software, including applications and programming.
