Office and Sales Administrator

**What's the role?**
**You will be responsible for**:
Office Administration
- Organizing and maintaining records, files, and databases/SharePoint
- Overseeing and supporting all administrative duties in the office and ensure that office is operating smoothly
- Ensuring the office environment is always cleaning and neat
- Organizing the office layout and ordering stationery and equipment
- Responsible for preparing and serving catering and beverages to clients and team members, when required
- Assisting in buying consumables such as cleaning products, groceries and beverages
- Booking travel and accommodation for staff
- Conducting courier arrangements when needed
- Assisting the executive team when necessary
Finance Administration:
- Receiving and capturing high volume sale orders from customers
- Verifying orders by checking the correct information, including customers personal details and payment details
- Amending/changing and maintaining existing orders
- Sending out Invoices to all customers
- Communicating feedback from customers internally
- Receiving calls from customers and assist with queries and ETAs on orders
- Building & maintaining relationships with Customers
- Ordering stock for customers
- Communicating order deadline dates for production
- Shipping orders when stock available
- Keeping up to date with production lines when stock is receipted
- Allocating stock to the correct open order
- Communicating with customers re-orders that are ready
- Communicating with customers that owe balance before orders are invoiced
- Assisting with credit notes
