Operations Manager

MAIN JOB PURPOSE
The Operations Manager will be responsible for implementation and managing all aspects of the Signa Opportunity (SOY) operations by operationalising the strategic objectives and priorities of the company in order to maximise operational performance, efficiency and effectiveness. This will be achieved by overseeing SOY’s business function (recruitment, workplace and host management, administrative support) and collaborating and leveraging group shared services (IT, Legal & Compliance, etc). In the main:
- He/she has overall accountability for project management, including scoping, resourcing through to change management, implementation and reporting.
- He/she has accountability for establishing quality standards, and management of SOY resources towards meeting client, compliance and governance expectations
- He/she has the responsibility of leading the Signa Opportunity team, towards delivering on set targets involving supporting documentation and ensuring we comply to the required SLAs with our clients and various internal and external stakeholders.
QUALIFICATIONS & EXPERIENCE
- Tertiary Qualification in Business Administration or equivalent
- Operations related qualification
- Sound knowledge/ understanding of the Learning and development landscape
- Project Management Certificate or Six Sigma will be advantageous
- Operational optimisation skills with a proven record over a minimum of 5-8 years of increasing outputs and efficiencies
- At least 5 years minimum management experience
- Preferred experience in the delivery of digital solutions
- Experience in process improvement for operational effectiveness and efficiency
- Preferred experience in digital transformation in training and education sector
- Preferred experience in design thinking and innovation
- Good understanding and buy-in of the shared value concept and wanting to make a positive impact through meaningful socio-economic transformation
- Proven track record in respect of leading teams
- Track record in effective Operations project management
- Proven people management skills
- Entrepreneurial back-ground - having started/managed a start-up before and set operational foundations
- Track record in training and education sector
DUTIES & RESPONSIBILITIES
**The duties include the following**:
Functional optimisation
- Liaise, collaborate with colleagues and partners and deliver on internal and external stakeholder expectations towards fulfilling business objectives
- To seek efficiency and drive the required outcomes both from the business unit and from its people and resources.
- Maintain credible reporting, compliance and governance standards
- Champion technology and general system improvements inclusive of relevant developments, integrations and user/stakeholder adoption to ensure efficient operations, accurate and compliant record keeping and meaningful reporting, and differentiated customer engagement
- Train teams members on regular basis on process optimisation, effectiveness and efficiency Implementations
- Understand company’s services and products, SLA requirements as per contract and proposals, company’s third-party suppliers and service providers
- Manage the recruitment, host coordinating, training, workplace coordinating, wellness and coaching and administration teams and ensure all client implementations are delivered in time and at a high standard.
- Oversee that team members have full knowledge and access to resources to delivery high quality projects and proactively anticipate needed resources, augmenting accordingly.
- Oversee and ensure delivery or implement of all client contractual obligations and SLA obligations
Risk Management
- In conjunction with legal and compliance team, ensure that all obligations with hosts, contractors and suppliers are correctly contracted and that all agreements fit the reasonable risk profile of the business
- Ability to trouble shoot and actively and proactively resolve operation (and team related) disputes, issues, complaints
- Put in place effective operational and process controls while empowering teams towards critical thinking for continuous improvements
- Pro-actively identify and address any improvements or any potential problems pertaining to effective management of implementations and achieving client objectives/service expectations
- Bi-annual, perform a comprehensive risk assessment of the functions and propose mitigation initiatives
- Ensure all records are captured/ collated on relevant company platforms/systems/folders and align to POPIA, the YES-NPC records and are kept according to RDMS standards
- Ensure compliance to the company’s contract, statutory and risk management processes and controls
- Ensure protection of IP and safeguard SOY’s competitive advantage in the delivery/operational model ensure adherence to authority limits and approval mandates and related company guidelines, processes and practice
