Receptionist & Administrative Assistant

Full-time position to be filled by April 2nd, 2024

Job description:
**Reception : At the desk**
- handle phone calls and visitors during AF du Cap office hours
- provide general Information about Alliance Française du Cap, its cultural center -including the art gallery
- and its various activities and services
- provide Information about French classes, sessions, process students registrations and payments

for classes and class material in close connection with the course coordinator
- provide information about exams in close connection with the exam coordinator
- provide information and quotes for the translation and interpreting services, process translations sent to and retrieved from the translator who is not based on the premises and collect all the information required to provide quotes for the delivery of interpreting services

**Administration : Back office work**
- record all payments on AeC (the Alliance Française du Cap software programme), create invoices and quotes on this programme and perform daily reconciliations with the director and monthly reconciliations with the course coordinator and the exam coordinator
- handle the private tuition department: receive and check enrolment forms, receive and enter payments for private tuition on AeC, create private tuition classes on AeC and manage hours in close connection with the course coordinator
- handle the occasional hall/classroom rental requests
- receive and check enrolment forms for group classes and workshops, capture personal data, receive and enter payment for classes and workshops on AeC, register students in the correct classes on AeC under the supervision of the course coordinator
- update courses and exams related forms
- prepare online payments for the director
- keep the list of contacts and members up to date for marketing department, and the list of suppliers for the director

**Qualifications**:

- previous experience in reception and back office work
- a good command of the French language

**Qualities and skills**:

- excellent organizational and planning skills
- good communication skills
- punctuality and good presentation
- team spirit

The receptionist & administrative assistant reports to the director and works closely with the

the course coordinator and the exam coordinator.
