- Provide comprehensive administrative support to the department head, including scheduling meetings, managing calendars, and coordinating with clients
- Prepare and maintain accurate and organized documentation related to projects, including reports, permits, and compliance records.
- Assist in the preparation and submission of compliance documents and admissions, ensuring adherence to environmental and industry standards.
- Liaise with clients, suppliers, and regulatory agencies to facilitate smooth communication and address inquiries or issues.
- Manage project-related correspondence and maintain effective communication channels with clients and stakeholders.
- Monitor and track project deadlines, ensuring timely completion of administrative tasks and deliverables.
- Organize and maintain project files, including data entry, record-keeping, and document retrieval.
- Assist with the preparation of project proposals, presentations, and reports, ensuring accuracy and completeness.
- Support the teamlead in managing budgets and expenses, including processing invoices and tracking project costs.
- Coordinate fieldwork logistics, including arranging site visits.
- Help with the preparation compliance documentation, including assessments and project plans.
- The process involves navigating detailed and tedious tasks with creativity, and early mistakes can have significant financial implications for clients. Therefore, a methodical yet inventive approach is crucial for success.

**Qualifications**:

- At least 3 - 5 years experience in a senior administrative capacity in a legal, sustainability or compliance entity
- A completed Diploma or Degree
- Able to remain composed under pressure and embraces challenges.
- Previous experience working in a legal or compliance or sustainability practice will be beneficial
- Excellent communication abilities in both English and Afrikaans
- Drivers licence and own transport
- Exceptional administrative, organising and planning skills.
- Ability to prioritise and work under pressure
