We are urgently looking for a Office Administrator/ PA to perform a wide range of PA, contracts ,administrative and office support duties.


ROLE AND RESPONSIBILITIES

1.PA/ Office Administration

  • Implementing and maintaining procedures/office administrative systems
  • Organize office operations and procedures
  • Diary management
  • Planning and organising meetings
  • Booking transport and accommodation
  • Ordering stationery and furniture
  • Dealing with correspondence, complaints and queries
  • Delegating work in the manager's absence,
  • Preparing letters, presentations and reports
  • Supervising and monitoring the work of secretarial, clerical and administrative staff
  • Managing office budgets
  • Liaising with staff, suppliers and clients
  • Sign and submit timesheets
  • Order and maintain office supplies
  • Troubleshoot computer and systems problems and liaise with IT specialists to resolve problems
  • Maintain office equipment
  • Opening and closing of office premises

2. Tender Administration

  • Ensure that the tender documents are completed and are accurate
  • Attend tender/ contract meetings
  • Liaise with all team members to ensure accuracy and compliance as per client specifications
  • Provide administration support with tenders / proposals and monitor a time line
  • Review final documents for quality control and proof read for accuracy and compliance
  • Keep up to date documentation of all tenders and contracts register
  • Assisting with updating and marketing materials
  • Assisting with updating Company documentation

Job Requirements:

  • Office Adminsitration qualification or relevant qualification
  • Office, Tender and Contracts Administration experience
- +5 Years' working experience in the field

  • Microsoft Packages
  • Drivers licence
  • Willing to travel
