**Overview - Job Purpose**:
The purpose of the position is to manage Repairs and Maintenance function, including, equipment and emergencies on an ongoing basis and serve as a custodian for the company governing the relationships, procedures and authorisations between employees and outside contractors conducting Repairs and Maintenance-, schedule preventative maintenance, respond to urgent maintenance calls. This includes the managing of the repairs and maintenance issues by way of an outsourced 3rd party help desk provider.

**QUALIFICATIONS, SKILLS, AND COMPETENCIES REQUIRED.**
- Grade 12 and Degree/Diploma/Certificate in Office Administration or any related qualification.
- Drivers Lisence.
- 1-3 Years experience as a R&M Administrator.
- Computer literacy: MS Excel, Outlook, MS Word essential.
- Communication and problem-solving skills.
- Pay attention to details.
- Report writing and presentation skills.

**KEY RESPONSIBILITIES BUT NOT LIMITED TO**:

- **Fresh Desk System**:
Able to log calls If necessary.

Analyze and monitor calls.

Follow up on long outstanding calls logged.

Reporting of opened calls to be done every Tuesday (Weekly)

Assist in closing all completed jobs.

Update recons on all maintenance issues
- **Invoicing Pack**

Checking labor, Traveling and call out rates.

Checking if approval has been granted as per mandates.

Ensure there is a quotation, maintenance order form and call log numbers (if possible, vendors job cards)
- **Spares and Small wares orders
- (Gold Line, Food Serve, Vulcan)**

Request quote from suppliers

Obtain approval on quote according to mandate.

Create purchase order and send it to supplier to place order.

Arrange for collection or courier according to request or as requested.

Ensure that the POD is completed.

Recon of all spares and small wares are recorded.

Follow ups done regularly.

Final Document of all orders, updated status, and approvals.

Recons to be done daily on spares/ parts and small wares orders.
- **Vehicle Duties**

Ensure that all cars are properly cleaned and maintained and that any need for repairs is outlined and reported.

Receive items and documents for transport and ensure that they are safely transported to their destinations.

Renewal of vehicle license

Ordering of the new fleet card and e tag

Vehicle inspection - on all vehicles

Update the vehicle list and file, disc dates and mileage.

Ensure the pool cars are operational.
- **Office Duties**

Required to conduct stock take for the kitchen.

Responsible for reporting and actioning repairs and replacements in the office.

Collection and delivery of post.

Assist the office and other departments where is needed.

Devices - receiving, repairs, purchasing new.

Receiving and dispatching - for Marketing, office, IT, R&M

Planning list of duties for driver.
- **Vendors**:
Verify vendor information and approve.

Negotiate rates and charges.

Regular follow up and meetings

Vendor reviews quality of work and turnover times.

Allocate jobs to the vendors.
- **Remodel & New Stores**:
Request quotation from suppliers for new equipment, repair, and service equipment.

Update assets recon to be updated regularly.

Coordinating collection and delivery of equipment.

Updating the costing recon.

Ordering parts and spares needed for the supplier.

Follow-up done on the status of the equipment, communication with supplier’s timeline and deadlines.

Updating the asset lists.
