Key responsibilities

MANAGEMENT OF MARKS PROCESSING

  • Uphold all policies and Senate Standing Orders relating to assessments
  • Maintain, manage, and archive control sheets and records of all examinations and mark activities
  • Receive and check marks from lectures
  • Produce mark summary and report for external examiners
  • Produce mark reports for the postgraduate committee
  • Communicate with the CLM Register regarding the publication of official marks
  • Ensure adherence to exam policies, rules and regulations
  • Implement decisions of the PG Committee
  • Respond timeously to queries from WBS staff
  • Follow process, escalate problems and queries from WBS staff
  • Follow process, escalate problems and queries appropriately for action
  • Final Summative Assessment and Examination Event Management

FINAL SUMMATIVE ASSESSMENT AND EXAMINATION EVENT MANAGEMENT

  • Facilitate final summative assessment events by coordinating preparations including overseeing approval of question papers and memos within specified deadlines, printing/loading, storing of question papers, schedule of exams, liaison with AA regarding preparation of venue, confirmation of exam registers
  • Oversee invigilation(confirming sufficient invigilators are schedule, assisting where necessary, ensuring question scripts and papers are properly tracked and counted)
  • Manage and coordinate the deferred examination process according to the SOP for examinations

FILING, ACHIEVING AND RECORD-KEEPING

  • Maintain accurate and complete records related to student assessment including archival of examination papers and memos, external examiner reports, mark schedules, sample students' scripts, student registers, etc
  • Provide sets of documents as needed for QA purposes, including Accreditations, Programme and Course Reviews, QQRs, and any other requested purposes
  • Maintain detailed records relating to the appointment and management of External Examiners, Deferred Examinations and Examination Reviews
  • All records are fully backed up and stored securely with adequate access at all times, independent of staff member availability

COMPLIANCE MANAGEMENT

  • Preparing for Post Graduate Committee meetings to review marks
  • Ensure that accurate and appropriate records are maintained in the Examination Office
  • Manage all logistics related to examinations
  • Ensure alignment between School and Faculty guidelines
  • Quality assurance on the publication of marks Proactively follow up on outstanding marks
  • Keep accurate records of all marks
  • Ensure that quarterly statistics and marks are safeguarded

Minimum academic requirements and experience

  • Diploma in Administration
