We are seeking a detail-oriented and proactive Administrative Office Co-Ordinator to manage the Administration office and to support the Operations team. This role is pivotal in ensuring smooth communication between the Administration and Operations teams, accurate processing of job cards, and timely invoicing through our electronic system (JobSys). You will play a key role in maintaining operational efficiency, supporting management, and fostering strong client and supplier relationships.

Key Responsibilities

  • Follow up on outstanding supplier invoices linked to purchase orders.
  • Prepare and submit invoices to clients weekly.
  • Capture and process all job cards on JobSys, calculating costs (labour, materials, time).
  • Check job cards for errors, resolve discrepancies, and highlight shortfalls monthly.
  • Ensure accurate record-keeping for invoicing and client accounts.
  • Stand in for Operations Manager when required.
  • Log jobs and dispatch teams efficiently.
  • Manage the Office Administration staff
  • Manage WhatsApp communication channels to ensure updates are attended to promptly.
  • Participate in standby roster as after-hours manager.
  • Participate in special projects and ongoing learning opportunities.
  • Perform any other duty as assigned by management.
  • Support colleagues by checking admin processes and flagging training needs.
  • Handle supplier queries courteously and professionally.
  • Manage incoming and outgoing calls with professionalism.
  • Respond to client queries/complaints promptly, keeping stakeholders updated.
  • Build rapport with clients and suppliers to maintain satisfaction and timely invoice collection.

  • Proficient skills in working with Pastel
  • Strong administrative and invoicing experience.
  • Excellent attention to detail and accuracy in data entry.
  • Ability to manage multiple priorities and meet deadlines.
  • Strong communication skills (written and verbal).
  • Professional, courteous approach to clients, suppliers, and colleagues.
  • Proactive problem-solving and willingness to step into operational support roles.
  • Be part of a dynamic operations team where your contribution directly impacts efficiency and client satisfaction.
  • Must live in the Tableview area.

Job Types: Full-time, Permanent

Pay: R12 000,00 per month
