Document Controller Job Description

We are seeking an experienced Document Controller to join our team at Flink Recruitment. This role is responsible for maintaining, organizing, and updating documents for a business using document management software.



Key Responsibilities:


  • Maintain and organize electronic filing systems
  • Upload all documents of external origin onto document software system
  • Notify all applicable employees of new or changed documents
  • Accurately process and record all technical documentation
  • Input progress mark-up information into database
  • Generate and maintain documentation to ISO, health and safety, Quality management, risk, and environmental control
  • Conduct site visits, identify SWOT and Risk Analysis, and assist with audits
  • Manage and maintain the quality management system and Quality Control gates
  • Facilitate mentoring and hold team members accountable for performance
  • Drive continuous improvement and comply with factory and government regulations
  • Play a key role in new business implementation


Requirements:

Matric (Grade 12) qualification is essential. A technical qualification in mechanical or electrical, Diploma or Degree in IT or related field, and/or Certificate in Detailed understanding of QMS and ISO 9001:2015 are desirable.



5-10 years of experience in document control, preferably in the mining, construction, or manufacturing industry. Administrative experience, technical writing, and English/communication skills are essential.



Skills and Knowledge:


  • Excellent administration skills, communication skills, and Microsoft Office suite proficiency
  • Knowledge of ISO 9001:2015 and computer skills
  • Ability to create and maintain detailed Excel spreadsheets, planning, and organizing
  • Data capturing, technical proficiency, financial acumen, compliance management, and research and development skills
  • Report writing, interpersonal skills, and ability to manage cross-functional team members
  • Mentoring and coaching skills, data management, document management, and excellent filing management
  • General administration, attention to detail, team player, self-driven, time management, problem-solving, team building, planning, and decision-making


Competencies:

High tolerance for pressure, accuracy, and record-keeping are essential competencies for this role.
