Support Services Coordinator

The Financial Intelligence Centre (FIC) requires a Support Services Coordinator to manage the provision of reception, cleaning, mailing, printing, administration services, and other relevant outsourcing services for facilities management. The successful candidate will be responsible for developing, implementing, and maintaining relevant policies and procedures required for administration and office support.
Key Responsibilities:
- Policies and Procedures: Develop, implement, and maintain relevant policies and procedures required for administration and office support.
- Supervision: Supervise the team providing support services, including reception, cleaning, catering, courier, and boardroom management.
- Contract Management: Monitor contracts with service providers and ensure compliance to service level agreements.
- Supply Chain Management: Order and issue refreshment/office supplies and maintain appropriate stock levels.
- Corporate Image: Ensure that the receptionist and/or switchboard operator supports a sound corporate image for the FIC.
- Delivery Service: Ensure that an efficient delivery/driver service is provided for the FIC.
- Parking Management: Manage parking space allocation and control.
- Reporting and Communication: Prepare reports, submissions, and correspondence on behalf of the Facilities Management function.
- User Engagement: Build and maintain relationships with end-users.
- Performance Feedback: Provide feedback to all relevant stakeholders on the provision of service.
- General Administration: Perform general administrative duties.
- Compliance: Ensure compliance with the Occupational, Health and Safety Act of 1993 (OHSACT).
- Additional Duties: Manage other general Facilities Management duties as required.
- Policy Development: Contribute to the development of facilities management policies, systems, practices within best practice, industry standards, and applicable legislation.
- Service Monitoring: Monitor hard service and report any defects timely.
