Customer Service Coordinator

A well-established business based in Edenvale is seeking a highly skilled Customer Service Coordinator to join its team. This role is responsible for managing the switchboard and front desk of the office, while being an active member of the Customer Services team.
The primary responsibility of the Customer Services team is to manage the customer ordering process, ensuring a smooth, professional, and efficient service each time customers place an order or make an enquiry. Key tasks include:
- Managing quotations, COD orders, courier services, customer queries, backorders, goods returned, complaints, and credit requests
- Maintaining the company's Safety, Housekeeping, and Quality Standards
The ideal candidate will have a Matric (Grade 12) qualification, at least 5 years' experience, with 2 years in a similar position. They should possess excellent telephone technique, attention to detail, written and oral communication, and interpersonal skills. Organizational skills with the ability to perform multiple tasks simultaneously are also essential.
In this role, you will be responsible for:
- Receiving and processing orders, including telephone orders, fax, internet, and email orders
- Capturing all orders into Macola accurately and ensuring prices are as per the approved pricelist
- Reconciling EPS, Surgitrack, and Orderwise orders from Macola to the systems
- Checking stock levels regularly and noting out-of-stock items on the CS Board
- Preparing monthly reports and handling customer enquiries and queries
- Reviewing orders by comparing to original orders and printing invoices where necessary
- Filing completed invoices and quotations
- Capturing and communicating backorders, ensuring timely dispatch and updates to customers
