We are seeking a highly motivated and organized individual to join our team as a Business Administration and Sales Support Specialist at HR Studio.

As a key member of our administration team, you will play a vital role in ensuring the smooth operation of our office and sales activities. Your exceptional communication skills, both written and verbal, will enable you to build strong relationships with customers and colleagues alike.

The ideal candidate will possess excellent customer service skills, be proactive, and thrive under pressure. You will have strong prioritization and administration skills, as well as great teamwork and interpersonal skills.

In this dynamic and fast-paced environment, you will be responsible for various administrative tasks, including organizing and maintaining records, files, and databases. You will oversee and support all administrative duties in the office, ensuring it operates smoothly and efficiently. Additionally, you will be responsible for preparing and serving catering and beverages to clients and team members, when required.

You will also assist in buying consumables such as cleaning products, groceries, and beverages. Furthermore, you will book travel and accommodation for staff and conduct courier arrangements when needed. The successful candidate will work closely with the executive team to ensure seamless execution of tasks.

From a finance administration perspective, you will receive and capture high-volume sale orders from customers, verifying them by checking customer personal details and payment information. You will amend or change existing orders, send out invoices to customers, and communicate feedback internally. You will also handle customer inquiries via phone or email, building and maintaining relationships with customers.

Responsibilities include ordering stock for customers, communicating order deadline dates for production, shipping orders when stock is available, and keeping up-to-date with production lines when stock is receipted. You will allocate stock to the correct open order, communicate with customers regarding re-orders that are ready, and notify customers who owe balances before orders are invoiced. Finally, you will assist with credit notes.

To be considered for this exciting opportunity, you must have a matric qualification, a minimum of 1 year's experience in a similar role, and proficiency in Microsoft Word and Excel.
