Administrative Assistant Job Description

Recruitment Matters is seeking an experienced Administrative Assistant to support the Finance and HR team. The successful candidate will play a vital role in ensuring efficient administrative operations, with responsibilities including statutory submissions, contract management, and general office support.

Key Responsibilities:
  • Statutory Submissions: Oversee and manage all statutory submissions, ensuring timely completion and submission.
  • Company Resolutions: Ensure company resolutions are signed and sent to the Board in a timely manner.
  • Company Registration: Assist with company registration processes as needed, ensuring compliance with regulatory requirements.
  • Board Meetings: Take minutes during board meetings and manage related documentation, ensuring accuracy and completeness.
  • Email Management: Monitor the CFO's emails and assist with responses when necessary, ensuring prompt and professional communication.
  • Contract Administration: Manage contract-related tasks, including updating, filing, and renewing contracts, ensuring compliance with company policies and procedures.
  • Department Efficiency: Help improve efficiencies within the finance department, coordinating regular meetings and implementing process improvements.
  • Liaison Tasks: Liaise with financial institutions and SARS to support company operations, ensuring timely and accurate communication.
  • Ad Hoc Administration: Handle various ad hoc administrative tasks to support the team, ensuring prompt and professional service.
  • HR Assistance: Assist the HR Manager with administrative tasks related to HR functions, ensuring compliance with company policies and procedures.
Requirements:
  • Education: Qualification in Business Administration or a related field.
  • Experience: Minimum of 5 years of administrative experience in a corporate environment.
  • Skills: Strong organizational, administrative, and clerical skills, with excellent time management and attention to detail.
  • Language: Proficiency in English, with strong communication and interpersonal skills.
