**responsibilities**:

- Brief design team with all design elements pertaining to an event and gain approval from internal client
- Distribute invitations within required time-frames; manage RSVP process via Silverpop system
- Secure a suitable venue for the event while inspecting all health and safety elements at the venue i.e. security, disability friendly, ablution, technical and parking facilities
- Ensure that necessary transport is arranged for guests to travel to and from the venue/destination if required
- Assist team members as and when required, Be conscious of risks and attempt to mitigate as much as possible
- Keep client informed of progress on a regular basis
- Arrange, prepare and/or deliver appropriate gifts for guests
- Prepare the layout and décor of the venue, including the guest registration desk prior to the start of the event
- Liaise with relevant supplier regarding catering requirements while ensuring that all dietary requirements are taken into account
- Liaise with relevant supplier to identify and secure speakers (event specific)
- Prepare any necessary stationery (event specific)
- Ensure that all necessary information is captured accurately on Siebel
- Ensure that there is an adequate number of branded technical staff on site
- Arrange the delivery of event elements i.e. entrance tickets, final details, parking tickets, and necessary maps/GPS coordinates
- Arrange all logistics around getaways if need be
- Oversee the event on the day in order to ensure everything runs
- Liaise with relevant internal client to discuss their event (i.e. workshop/demonstration/exhibition) requirements, obtain guest list as well as budget information
- Ascertain demographics of the prospective event audience and conduct research accordingly in order to develop the most appropriate event for proposal to internal client
- Compile a spreadsheet with all relevant information regarding necessities for the event, including budget information; gain approval from internal client
- Keep up to date with industry, client and hospitality trends and best practice, competitor activities, venue and other hospitality innovations to ensure that event activities are relevant to the evolving context
- Display an understanding of the Company's strategic intent and direction
- Perform a tactical partnership role in translating and aligning eventing solutions to support and enable stakeholder/business objectives. This includes the planning and delivery of events to drive brand awareness and client engagement
- Work with marketing and supplier partners to integrate eventing efforts to drive a client centric experience This includes the solicitation of client and internal stakeholder feedback to enhance the client experience
- Ensure the compilation and dissemination of post [1] event analysis and reporting to BU's
- Provide regular analysis and reporting to teams/BU's on event activity
- Plan and deliver targeted client and employee eventing opportunities for the assigned portfolio. This
- includes:Event data base ownership and guest-list coordination
- Event logistics e.g. invites, venues, branding, hosting, menus, entertainment
- Corporate clothing and gifts, Post event evaluation and reporting, Co-ordination of supplier and team activities
- Work with Marketing, Business and external stakeholders to implement events and conferences that may impact across multiple BUs, functional areas and disciplines
- Ensure effective and efficient delivery of eventing projects on time and within budget.
