Consultant: Events Manager

JOB PURPOSE:
To oversee all aspects of event management, from initial concept development to post-event evaluation, ensuring that each event meets its objectives while staying within budget and timeline constraints.

Event Planning:

- Collaborate with clients or internal stakeholders to understand event objectives, themes, and requirements.
- Develop event concepts, themes, and timelines.
- Select and coordinate with vendors, suppliers, and venues to ensure availability and negotiate contracts.
- Create and manage event budgets, tracking expenses and ensuring cost-effectiveness.
- Obtain necessary permits and licenses for events, ensuring compliance with regulations.

Logistics Management:

- Coordinate logistics such as transportation, accommodations, catering, audio-visual equipment, and signage.
- Develop and maintain event schedules, ensuring all elements run smoothly and on time.
- Supervise setup, teardown, and cleanup activities to ensure venues are prepared before and after events.

Marketing and Promotion:

- Collaborate with marketing teams to develop event marketing strategies and promotional materials.
- Monitor RSVPs and manage attendee lists, ensuring accurate headcounts for catering and seating arrangements.

On-Site Management:

- Oversee all aspects of event execution, including registration, guest assistance, and coordination of activities.
- Resolve any issues or emergencies that arise during events, ensuring a smooth experience for attendees.
- Act as the main point of contact for clients, vendors, and attendees, addressing inquiries and providing assistance as needed.

Evaluation and Reporting:

- Conduct post-event evaluations to assess the success of events and identify areas for improvement.
- Analyse feedback from clients, vendors, and attendees to inform future event planning.
- Prepare comprehensive event reports, including budget analysis, attendance metrics, and ROI calculations.

Qualification: Qualification in Events Management or related qualification.

Experience: 5- 10 years’ experience doing similar work.
