PURPOSE

The purpose of the Project/Contracts Administrator is to ensure that projects are completed with quality, on budget, within time constraints, and to the required health and safety regulations. Under the direction of the National Construction Manager, the Contracts Administrator will manage the contract administration functions of the sports projects.

To be a success in this role, you will need to be able to assist with the coordination and administration function in ensuring our projects meet quality standards and are completed on time within budget. This includes all logistics and management of site staff on the various sites, attending site meetings, compiling minutes, and Health and safety on site will be a key component of the role. This role reports into the Sports Manager.

SPAN OF CONTROL

This position will form part of the Belgotex Sport Team and will report into the Sports Business Unit Manager.

KEY ACCOUNTABILITIES & OUTPUTS
- Tender submissions and legal compliance.
- Project time-line management and communication
- Assist with the budget administration
- Placing of orders for goals, flags, maintenance equipment, etc for projects
- Logistics planning through liaising with the trucks to ensure despatching of raw materials/sands/installation material, etc is done.
- Process invoices by matching delivery tickets, cost coding, and invoice tracking.
- Maintain subcontractor files by ensuring the documents are updated with all relevant information.
- Payroll duties will include coordinating with Construction Manager and the payroll department by collecting timesheets, verifying cost codes and total hours worked in a report.
- Compiling of reports on spreadsheets for the Senior Sports Manager and Construction Manager
- Responsible for processing online bank payments (EFT) working together with the creditors clerk
- Responsible for reconciling our creditors accounts
- Provide administrative and on site support for the Installation teams
- Liaise with the Dispatch department regarding timelines of deliveries to ensure they are made in a timely manner.
- Pricing of tenders for the sales team using project tender documents.
- Reconciling of projects.
- Health and Safety on various sites to ensure compliance.

QUALIFICATIONS
- Grade 12 / Matric with a pass mark for mathematics or math’s literacy and English is essential.
- Diploma/Bachelor’s in Commerce or Accounting; or a relevant qualification is advantageous.

At least 3-5 years relevant experience in a similar role is essential.

**REQUIREMENTS**:

- At least 3- 5 years previous experience in project administration, **finance** and coordination
- Previous experience working on a purchasing system.
- Must have good communication skills - verbal and written
- Must be an analytical thinker
- Strong attention to detail
- Must enjoy working with numbers and
