To ensure the daily smooth running of all invoice preparations and stock administration

Duties & Responsibilities:
Receive and Prepare Orders and Invoices:

- Receive and record all orders and generate the appropriate invoices as per client requirements
- Ensure accounts, prices, discounts, items, qty, and rep codes are correct on invoices (have mínimal credits)
- Ensure all invoices are sent in the correct format to all Clients/Entities timeously
- Request products from Inventory Control (shipping) in respect of Direct and Consignment orders
- Generate “delivery notes” before dispatching stock and ensure all paperwork corresponds
- Action "Tracking of Shipments" forms with the appropriate urgency
- Adhere to the correct back order procedure

Stock Administration:

- Ensure account, item, rep code, and date are correct on Pastel with physical stock on hand
- Compare invoices and replacement stock to match the original order
- Crosscheck invoices and replacement stock on orders

General Functions:

- Complete drivers' log sheets and waybills before the close of business daily
- Assist with departmental ad-hoc functions (packing of deliveries, drivers, and colleagues' workflow when absent)
- Assist with departmental administration (filing, credits, FOCs, TCs, Capex, PODs required by Finance, and petty cash)
- Sort, file, and source outstanding PODs for your accounts (invoices & slips)
- Ensure all Pastel corrections are timeously actioned
- Pastel updates (price changing, account changes, etc.)
- Financial auditing and archiving thereafter
- co-ordination of daily stock movements/deliveries

Ensuring that Policies and Procedures are adhered to:

- Follow all policies and procedures of the company

**Requirements**:

- Matric
- Related diploma (Advantageous)
- **Good communication skills (verbal and written)**
- Good presentation skills
- **Pastel Evolution experience (Prerequisite)**:

- MS Office requirement
- Excel (Advantageous)
- 2-3 years in a similar role
- Time management abilities
- Team player
- Problem solver

**Job Types**: Full-time, Permanent

**Salary**: R10,000.00 - R15,000.00 per month
