Front Office Receptionist

A reputable boutique hotel in Sea Point, is looking for a graduate to take up the role as a Front Office Receptionist. The Front Office Receptionist will welcome and receive all guests in a manner that compliments the highest standard of the hotel. Maintaining and processing of accounts for departing guests creating an impression which would encourage them to return to and to recommend the Hotel. Impact on time, cost and guest satisfaction.
**Responsibilities**:
- Welcome all guests in a friendly & polite manner
- Identify guest upon check in (corporate or FIT) and follow check in procedure as required
- Call guest by name during conversation at least twice
- Observe and attend to all guests without delay
- Ensure registration documentation is completed correctly and entered into system
- Ensure information on arrived VIP guests are distributed to relevant departments
- Post and file all dockets as per organizational requirements
- Ensure efficient check out as per organizational requirements
- Take responsibility for cash float and maintain it with adequate change
- Report queries on guest bills direct to the MOD without delay
- Report guest complaints accordingly without delay and follow up
- Take appropriate action against unexpected situations within responsibility
- Report wake up calls, ironing boards and luggage down accordingly
- Ensure cash up and banking is done as per organizational requirements
- Ensure documentation and other items required for guest registration are prepared in advance of guest arrivals
- Ensure daily accounts maintenance (Pit check’s) is done and signed of
- Inform Housekeeping of all early arrivals, late departures and room moves
- Ensure complete hand over to next shift
- Note and action comments in hand over
- Be Familiar with conference venues, tours, prices and facilities available within the area
- Be Familiar with internal activities (groups, conferences, vip’s)
- Be Familiar with room types (floors, views, facilities)
- Be Familiar with rates and season specials
- Be Familiar with Semper booking system
- Provide customer information and be able book external services
- Consult alternative sources should require information be unavailable
- Ensure operating equipment is maintained and supplies are replenished accordingly
- Ensure system failures are identified, rectified and reported
- Be Familiar with confidentiality policy of the hotel
- Be Familiar with procedures in the event of a fire
- Maintain high standard of personal hygiene and presentation at all times
- Ensure the front desk area is clean and tidy at all times
**Morning Duties**:
- Collect float and check - order change if necessary be prepared for random float checks.
- Receive handover from Night shift - and read handover book.
- Print the following reports: Arrivals, Departures, Traces and Contingency Report.
- Confirm showrooms with Exec Housekeeper
- Cross check arrivals with printed registration cards and correspondence.
- Ensure all arrivals are prepared for the day (Group and individuals)
- Print welcome letters and get the GM to sign it
- Check res file for next day arrival correspondence
- Check out guests when requested; liaise with Housekeeping in regards with unexpected departures.
- Assist with early arrivals / offer the transit lounge.
- Follow up on departures at 11:00am and inform housekeeping.
- Check high accounts.
- Balance all your banking
- Close off shift.
- Present your banking to early Duty Manager.
- Following banking procedure and drop cash
- Handover to next shift.
**Night Duties**:
- Collect Float and check - order change if necessary, be prepared for random float checks.
- Receive handover from Morning Shift - and read handover book.
- Print the following reports: Arrivals and Guests in-house.
- Order stationary if necessary.
- Liaise with staff and management regarding group arrivals.
- Handle all guest queries and check in.
- Print turn-down report for Housekeeping
- Print departure letters for housekeeping and get GM to sign
- Open bar and do opening stock
- Assist in bar when busy
- Conduct a thorough account maintenance (Pitt check’s)
- Do handover with night shift
**Skills and Experience**:
- Hotel Management Diploma Advantageous
- Reception experience a must
- 1 year experience in dealing with guest service
- MS Office knowledge a must
- Knowledge of Semper advantageous
- Attention to detail
- Must be fluent in English
- Excellent time management and organisational skills
- Flexible
- Be able to work under pressure
- High standards of Hygiene
- Clean uniform, mínimal jewellery and appropriate attire
**Salary**:
R5400 per month
