Reception/administrative Assistant

We are looking to employ Reception/Administrative Assistant to join our CMT based in Maitland, Cape Town.

**Duties**:
**1.** **Reception (Daily Task)**
- Meeting and greeting clients.
- Arranging courier that is relevant to Carline/Marius (Fabric)
- Keeping the reception area tidy.
- Answering and forwarding phone calls.
- Minutes on all meetings to be taken.

**2.** **ISO (Daily/Weekly Task)**
- Print all ISO Sheets and distribute to relevant departments.
- Data Capturing of all ISO Data.
- Filing of all Data and ensuring all Data on server.
- Leasing with Manager, all WI/ SOP's for CMT to be laminated and distributed.

**3.** **Administration (Daily/Weekly Task)**
- Generate Job bags for new Fabric Orders.
- Fabric Tracking Training will be provided.
- Fabric Stock Data capture on excel. Training will be provided.
- General Filing and Capturing of Fabric Data. Training will be provided.

**4.** **Human Resources (Weekly Task)**
- Time log system, load all new employees. Training will be provided.
- Preparing and updating Disciplinary Schedule.
- Ensure monthly kitchen Consumables.
- Sort Sick notes/ leave forms to Time Sheets, query missing Swipes and absence on Time sheets with Supervisors, lease with Manager findings. Manager to sign off before handed over to Accounts.

**5.** **CMT (Daily Task)**
- Print and distribute Production Sheets.
- Ensure all work sheets copies are made.
- Leasing with Stores, QC and Processing: (Client Traceability)
- 1. Dispatched jobs delivery notes from Stores.
- 2. Drawings of dispatched jobs from QC.
- 3. Dispatched job bags from processing, all gathered information to be filed and put on server.
- Manager to delegate other tasks when needed.
