Anova is seeking multiple Records Officer for the APACE grant (HIV/TB 909090 Programme), to provide direct supervision and support to the Administration Clerks in the facilities in relation to all records management queries, functional booking system, reports and stationery inventory, file completions and filling, storage and archiving of files.
**Key Duties and Responsibilities**:
- Supervise and support the Administration Clerks in the facilities in relation to all records management queries
- Monitor Admin Clerks duties and oversee facilities within their region
- Provide mentoring and daily supervision to Filing Clerks and ensure that Admin Clerks are familiar with ideal clinic guidelines
- Ensure that the file flow circulation is done daily
- Develop, maintain, verify and evaluate the existing filing systems
- Ensure record’s safety in all the supported facilities
- Develop the Records Management Policy
- Establish new records management systems
- Ensure availability of stationery and all records management forms in all supported facilities
- Ensure that each facility has a functional booking system
- Ensure implementation of DOH ideal clinic standards & guidelines at the facility level and Anova records management policies
- Ensure that weekly and monthly reports are submitted to the records manager
- Respond to Records Management queries and needs as they arise and refer to Records Manager when necessary
**Minimum Qualifications, Experience and Skills Required**:
- Degree/Diploma in at least one of the following disciplines: Information Studies/ Science, Records
- Minimum of 2 years’ experience in Library related or administrative experience
- Must have own car and a valid driver’s license and ability to travel within supported facilities
- Must be able to maintain private and confidential information
- Management/ Archival Studies/ Administration/ Commerce
