Executive Personal Assistant

Job Description & Reasonability’s:
Learn the skills of the trade and commence a managerial position to keep Bourgeon Capital office systems and financial sales pipeline running efficiently by carrying out a range of administrative, financial and managerial tasks including but are not limited to:
1. Dealing with correspondence, complaints and queries
2. Preparing letters, presentations, quotes, compliance and reports
3. Supervising and monitoring the work of other staff
4. Oversee that Dairy and Calendar procedures are done correctly
5. See that the following are adhered to by staff members:
5.1 Employees engage in work-related activities during workhours
5.2 Employees adhere to all company policies and procedures
6. See that the following meeting scheduling procedures are adhered to by staff members:
6.1 Leave enough time between meetings;
6.2 Schedule 2nd appointments for an hour;
6.3 Refrain from scheduling meetings on Monday mornings or Friday afternoons except if you have discussed it with the financial advisor.
6.4 Leave time for driving to and from actual in-person meetings.
7. See that Customer information forms are completed and sent to you with enough info including:
7.2 Short Term, Investments and Life policy information;
7.3 And anything else that could benefit the financial adviser when compiling a Discovery quote.
8. Perform general administrative duties such as answering phones, filing, processing mail, compliance, and all that is required from the Financial Adviser.
9. See that follow-up calls to clients for consent forms are made.
10. Have a complete knowledge of company policies and procedures.
11. Provide high level support, often handling many details relating to client's personal details, requests & paperwork.
12. Update and maintain databases to track prospects, information and leads to phone again.
13. Manage Excel Systems and Procedures.
14. Create and maintain filing systems
15. Communication skills to act at the contact point between internal team members and clients.
16. Client relationship management skills to maintain professional communication with customers and maintain a high level of customer satisfaction.
17. Quality assurance skills to maintain company quality standards of product and services.
18. Time management and prioritization skills to ensure efficient functioning of schedules and office systems.
19. Decision-making: administrative assistants need to make independent decisions daily, addressing the best way to handle specific tasks.
20. Communications and collaboration: An administrative assistant must collaborate with other administrators and support personnel, management, and clients on a regular basis.
21. Organizational skills: The ability to maintain order helps ensure executives don’t miss appointments or deadlines.
22. Work hours - 8:00 - 4:00 (8 hours per day)
23. Prepared to work overtime and after hours when required.
24. Prepared to co-travel with Financial Adviser when needed.
