DEPARTMENTAL ADMINISTRATOR B (25 HOURS PER WEEK)

RESPONSIBILITIES:
Assistance to the Head of Department

General administration relating to finances, Human Resources and students (as instructed by the HOD). Responsibilities include but are not limited to:

- Departmental and Office Administration;
- General office administrative duties, handling of incoming and outgoing correspondence, diary management, taking of minutes at meetings and setting up agendas, liaison with other faculties, departments and support services;
- Programme Administration;
- Research / Databases Management;
- Events and logistics;
- Financial administration;
- Ad-hoc tasks as required.

MINIMUM REQUIREMENTS:

- Grade 12 with Accounting or mathematics as a Subject and or an applicable secretarial/office administration qualification from an accredited tertiary institution;
- At least three years of relevant experience in office administration and secretarial duties.

REQUIRED COMPETENCIES (SKILLS, KNOWLEDGE AND BEHAVIOURAL ATTRIBUTES):

- Proven experience in the following:

- Drafting of correspondence and reports;
- Office administration and maintenance of databases and records.
- Good computer literacy skills in MS Office, especially Word, Excel and PowerPoint, other computer-based office administration tools, electronic learning management systems such as ClickUP and Internet searches;
- Proven experience and the ability to maintain high levels of discretion and confidentiality;
- Excellent interpersonal skills and an ability to interact with a wide range of people both within the University and externally;
- Good administrative abilities and skills in organising, prioritising and meeting demanding targets and quality.

ADDED ADVANTAGES AND PREFERENCES:

- BA or equivalent degree;
- Knowledge and experience of the University's financial systems and databases;
- At least three years’ experience as a PA or administrative office;r
- Background and experience in academic administrative work;
- Valid driver’s license;
- Basic understanding of Information Science, Publishing and Multimedia environment;
- Skills in the use of the University’s operational and management systems such as PeopleSoft and ClickUP (the learning management system).

The annual remuneration package will be calculated commensurate with the incumbent’s level of appointment, as determined by UP policy guidelines. UP subscribes to the BESTMed and UMVUZO medical aid schemes and contributes 50% of the applicable monthly premium.
