**The Department**:
We are a dynamic and diverse group of individuals working together in a fast-paced environment, with the sole aim of providing accurate and useful financial information. As the finance department, we deliver timeously to senior management and shareholders of the organisation, to assist with their decision-making processes in driving the business forward.

**Purpose of the Role**:
This role is responsible for administering the payroll, and reconciling all payroll related payments, as well as providing support to HR on all payroll related queries. This role reports to the Payroll Manager. You must be highly numerate, well organised, with the ability to work to deadlines. Attention to detail and accuracy is non-negotiable.

**Duties include, but not limited to**:
**Payroll administration (multiple companies)**:

- Ensure all employee data is up-to-date and accurate to ensure that employees are paid correctly and on time:

- Payroll complies with latest tax legislation;
- Salary agrees latest contract of employment, salary increase letter;
- Medical aid and group life agrees to employee selection;
- Loan deductions agree to authorized loan agreement; and
- Overtime agrees to ESS and complies with basic conditions of employment.
- Ensure that monthly payslips are accurate (Salary, refunds, deductions, taxation, overtime, bonus, travel claims etc), uploaded on Sage and available at the time of salary payment and agree to the employee’s net pay.
- Manage the Employee Self services system (creating user accounts, unlocking accounts, approving overtime, etc.)
- Payroll capturing.

**Payroll accounting and reconciliations**:

- Process salary Journals in Navision
- Perform the following reconciliations monthly:

- Salary creditors to general ledger;
- Salary control account (payroll to bank statements);
- IRP5 reconciliation: IRP5 to payroll and general ledger;
- Employee loans to general ledger and ensure compliance to loan agreement and company loan policy
- Quarterly Payroll Control account reconciliations in preparation for external audits

**Administration of Payments**:

- Facilitate payments via payroll or manual payments;
- Administer all taxable employee payments e.g., bonuses, overtime, travel expense claims, that get paid through payroll into employee’s bank accounts;
- Process all regulatory payments e.g. SARS, UIF, SDL; and
- Process other authorized HR payments e.g., garnishees, personal loans; recruitment agencies; confidential authorised payments such as sponsored counselling

**Salary structuring and assistance**:

- Assist with salary structuring in line with the HR remuneration policy and relevant legislation.
- Ad-hoc assistance with completion of e-filing tax returns (including ITA 88 queries)

**Payroll Reporting**
- Timely completion of the following reports for salary sign off:

- Summary of payroll changes;
- Variance Reports
- Overtime payments;
- Loan payments and balances; and
- Bonus payments

**Ad hoc**
- Other ad hoc duties as may be required from time to time.

**Essential Criteria**:

- **Relevant qualification or SAGE Academy certification.**:

- **Fully functional knowledge and experience on SAGE People 300 Software.**:

- **Knowledge of relevant labour legislation affecting HR administration (Taxation, BCEA, LRA & SDA).**:

- **Knowledge of remuneration practices, compliance, and optimal salary structuring.**:

- **Minimum 2 years’ experience in a similar role.**:

- **Accounting experience.**:

- **Proficient in Advanced Microsoft Excel.**

**Desirable Criteria**:

- Experience with Navision
- Experience in processing Payroll in foreign currencies
