Duties/Pligte
**Duties***:
**Office administration and support**:
- Providing administrative and secretarial support to the Director;-
- Front office management, including handling telephone enquiries and calls;-
- Electronic diary management of the Director in priority areas, including all strategic, management and operational requirements;-
- Responding to enquiries from internal and external stakeholders;-
- Updating and maintaining the Centre's asset register;-
- Making travel arrangements, including accommodation and reserving local and international flights for staff;-
- Financial administration, including obtaining quotes from vendors;-
- Ordering stationery and office sundries;-
- Make requisitions and purchase orders on the University system and ensuring compliance to the University's financial policy;-
- Cost centre management and preparing journals;-
- Electronic and paper filing, and retrieving and managing documents of a sensitive nature;-
- Recordkeeping and managing telephone accounts;-
- Handling IT requests, telephone, internet, furniture, and other related queries;-
- Assisting with student queries and registration administration;-
- Capturing marks of students;-
- Registering research outputs on the RA system;-
- Liaising with other Departments/Divisions and universities.**Meetings**:
- Coordinating workshops, functions and meetings;-
- Arranging meetings, teleconferences and departmental functions;-
- Arranging catering and refreshments for meetings;-
- Arranging parking and access codes for visitors;-
- Booking venues for meetings;-
- Setting up, checking and testing all technical equipment prior to scheduled meetings;-
- Preparing documentation folders for meetings;-
- Calling for agenda items from the various committees;-
- Drafting the agenda;-
- Circulating final meeting documents to members;-
- Taking and typing of minutes, reports and general correspondence.Job Requirements/Pos Vereistes
**Job Requirements***:
Administrative or secretarial qualification with at least two years¿ applicable experience,
- **_OR _**in the case of no formal qualification, at least three years¿ applicable experience;-
- Computer literacy in MS Office (Word, Excel, PowerPoint and Outlook);-
- Excellent interpersonal skills;-
- A strong client orientation and effective organisational skills;-
- Effective verbal, written and reading communication skills in English;-
- The ability to think ahead, to work independently and to display initiative.Recommendation/Aanbeveling
**Recommendations***:
Familiarity with Stellenbosch University's financial system;-
- Basic knowledge of accounting and accounting systems.
