Duties/Pligte**Office administration and support**- Providing administrative and secretarial support to the office manager and the VD;-
- Front office management, including telephone management;-
- Electronic diary management with the VD and office manager in priority areas, including all strategic, management and operational requirements;-
- Responding to enquiries from internal and external stakeholders;-
- Updating and maintaining the Division's asset register;-
- Making travel arrangements, including accommodation and reserving domestic and international flights for staff;-
- Obtaining quotes from vendors;-
- Ordering stationery and office sundries;-
- Requisitions and cheque requests;-
- Filing and scanning documents;-
- Electronic and paper filing, retrieving and managing documents of a sensitive nature;-
- Updating document folders on OneDrive/Office 365;-
- Recordkeeping and managing telephone accounts;-
- Assisting with and accurate recordkeeping of claims (travel claims, internet claims, verification and consolidation of claims made and payments received,- HPCSA claims);- Ensuring the office of the VD's operational needs are met in terms of IT, telephone, internet, furniture, and other related queries.- **Meetings**- Arranging meetings, teleconferences and departmental functions;-
- Arranging catering and refreshments for meetings;-
- Arranging parking and access codes for visitors and the VD;-
- Booking venues for meetings;-
- Setting up, checking and testing all technical equipment prior to scheduled meetings;-
- Preparing documentation folders for meetings;-
- Calling for agenda items from the various committees;-
- Drafting the agenda;-
- Circulating final meeting documents to members;-
- Typing of minutes, reports and general correspondence.- **Ad hoc duties**- Performing ad hoc duties relating to the operational requirements of the Vice-Dean's Division;-
- Standing in for other administrative personnel when they are sick or on leave.Job Requirements/Pos Vereistes- Suitable post-matric qualifications (secretarial/administration);- Extensive secretarial experience;- Excellent verbal and written bilingualism in English and Afrikaans;- Advanced computer skills (Word, Excel, PowerPoint, Outlook, the internet);- Excellent interpersonal and communication skills;- Excellent and accurate word processing skills;- Good organisational abilities;- Attention to detail and accuracy;- The ability to prioritise effectively and to work under pressure;- The ability to work independently with mínimal supervision;- Accuracy with the completion of assignments/tasks;- Proper time management;- A valid driver's licence.
